About the Role
ICON Builders is seeking an experienced, highly organized, and resourceful Executive Assistant & House Manager to oversee the seamless operations of their CEO. This role is best suited for a polished professional who thrives on managing complexity, anticipating needs, and ensuring every detail of the CEO's business and personal life runs smoothly.
Key Responsibilities
- Household Management: Oversee and coordinate house staff (chef, landscaper, housecleaner, pool maintenance, handyman, and other vendors).
- Scheduling & Coordination: Manage calendars, meetings, appointments, family events, and travel reservations.
- Project Oversight: Supervise house maintenance projects, renovations, and vendor activities to ensure quality and timely completion.
- Errands & Shopping: Run errands, shop for groceries and household items, and manage special purchases.
- Travel Management: Arrange domestic and international travel, including detailed itineraries and logistics; travel with the family 2–3 times per year as needed.
- Problem-Solving & Anticipation: Maintain foresight to avoid issues, proactively resolving challenges before they arise.
- Confidentiality & Professionalism: Maintain discretion and handle sensitive matters with the utmost confidentiality.
Qualifications
- Minimum 3 years’ experience as a Personal/Executive Assistant and House Manager for a busy family or executive.
- Proven ability to manage multiple priorities and changing schedules with exceptional attention to detail.
- Strong organizational, multitasking, and project management skills.
- Professional, polished presence with excellent communication skills.
- Independent thinker with resourcefulness and initiative.
- Long-term career focus; history of prior long-term employment in similar roles preferred.
- Flexibility for occasional evening/weekend support and travel.
