About the Role
Ibar Special Needs Trust Advisors is seeking a compassionate, highly organized, and detail-oriented Trust Advisor to manage and administer trusts for individuals with special needs.
Our mission: Ibar advocates for individuals with special needs, providing compassionate guidance, trusted stewardship, and peace of mind.
This is a unique role that blends relationship management, service coordination, and structured administrative work. Trust Advisors serve as the primary point of contact for beneficiaries and their families, ensuring trust activities align with legal requirements, public benefit eligibility (e.g., SSI, Medi-Cal), and the client’s overall wellbeing.
Success in this role requires the ability to build strong relationships while maintaining professional boundaries, as well as the ability to manage a high volume of documentation, communication, and coordination.
What You’ll Do
Client & Family Relationship Management
- Serve as the primary point of contact for a caseload of approximately 30–50 clients
- Communicate regularly via phone, email, video, and in-person meetings
- Conduct periodic home visits (semi-annual or as needed)
- Build trust with clients while maintaining appropriate professional boundaries
Trust Administration & Coordination
- Coordinate services and resources to support client needs (housing, care providers, community resources, etc.)
- Ensure all trust-related activities comply with legal guidelines and public benefit requirements
- Educate families on trust structure, allowable expenses, and benefit considerations
- Collaborate with attorneys, financial institutions, courts, and other external partners
Documentation & Compliance
- Maintain accurate, timely documentation of all client interactions and activities in internal systems
- Prepare reports for corporate trustees and courts as required
- Track spending and assist in monitoring budgets in alignment with trust guidelines
Team Collaboration
- Work closely with internal team members to share information, escalate issues, and support client outcomes
- Participate in ongoing training related to special needs trusts and public benefits
- Contribute to a positive, professional, and team-oriented work environment

Qualifications
- Bachelor’s degree in social work, business administration, paralegal studies, or a related field
- 2–5 years of relevant experience in case management, trust administration, social services, or a related field preferred
- Strong interpersonal and communication skills
- Excellent writing, documentation, and problem-solving abilities
- Ability to coordinate services rather than act as the direct provider
- Comfortable working with legal, financial, and healthcare professionals
- Familiarity with public benefits (SSI, Medi-Cal) is a plus
- Valid driver’s license and reliable transportation required
- Bilingual in Spanish is a plus
Work Environment & Schedule
- In-person role based in San Marino, CA
- Full-time schedule (38 hours/week):
- Monday–Thursday: 9:00 AM – 5:00 PM
- Friday: 9:00 AM – 3:00 PM
- Combination of office-based work and local travel for client visits
- Significant time spent on documentation, communication, and coordination
- Business casual work environment
