The Shipping & Receiving Clerk plays a critical role in the logistics operations of an FAA-certified aviation repair station. This individual is responsible for accurately processing all incoming and outgoing shipments, maintaining proper documentation, ensuring traceability, and supporting compliance with FAA, EASA, and company standards.
The ideal candidate is detail-oriented, dependable, and experienced in shipping, receiving, and handling aircraft parts and components, including proper tagging, packaging, and inventory procedures.
Key Responsibilities:
Shipping Duties:
- Prepare and package aircraft parts, materials, and components for domestic and international shipments in accordance with company procedures, DOT, FAA, and IATA regulations
- Generate and maintain shipping documentation including air waybills, commercial invoices, packing lists, and shipping labels
- Coordinate with freight forwarders, carriers, and courier services for pickups and deliveries
- Ensure proper documentation accompanies each shipment, including tags, COCs, and traceability documents
- Accurately update internal systems with shipping data, tracking numbers, and carrier information
Receiving Duties:
- Unpack and inspect incoming shipments for damage, accuracy, and compliance with purchase orders
- Verify and log part numbers, serial numbers, and documentation against purchase orders and receiving logs
- Ensure incoming parts are accompanied by proper documentation such as 8130-3, EASA Form 1, COCs, and trace
- Label and route received materials to the appropriate department (e.g., Inspection, Production, Inventory)
- Notify quality or procurement teams of any discrepancies, damages, or non-compliant items
Inventory & System Updates:
- Enter and maintain accurate data in the ERP or inventory system (e.g., Quantum Control)
- Assist in cycle counts and physical inventory audits
- Maintain accurate and organized shipping and receiving records for audits and traceability
Compliance & Safety:
- Follow all FAA Part 145, OSHA, and company safety protocols during handling and transport of materials
- Properly store, tag, and segregate serviceable and unserviceable items
- Support internal and external audits related to shipping, receiving, and material handling
- Maintain a clean, organized, and secure shipping and receiving area
Required Qualifications:
- High school diploma or GED required
- 2 years of experience in shipping and receiving, preferably in aviation, aerospace, or MRO environment
- Basic knowledge of aircraft parts, airworthiness documentation , EASA Form 1), and industry traceability standards
- Familiarity with ERP or inventory software (e.g., Quantum Control, AMOS)
