Your Role as a Customer Experience Specialist
As a Customer Experience Specialist, you’re the first voice clients hear and the first face they see when they walk through our doors—often during a stressful or emotional time. Your ability to stay calm, listen carefully, and communicate clearly makes all the difference for pets and their people.
In this role, you will :
- Greet and check in clients with professionalism, warmth, and urgency
- Manage multi-line phones, emails, online chat, and in-person inquiries efficiently
- Support triage by collecting essential information for urgent and emergency cases
- Clearly communicate hospital procedures, wait times, and care plans
- Schedule appointments and facilitate urgent admissions
- Handle invoicing, process payments, and discuss financial options with empathy
- Maintain accurate client communications and medical records
- Provide emotional support for clients during difficult or high-pressure situations
You’ll receive hands-on training in:
- Veterinary medical terminology and urgent care protocols
- How to assist with basic patient triage
- Managing high-volume, high-stress interactions with clarity and empathy
- Using veterinary-specific software and integrating diagnostic tools
- Communication techniques that foster trust, reassurance, and professionalism

About You:
- Experience in a veterinary or medical office is a plus, but not required—we’ll train the right person
- Excellent communication skills—both written and spoken
- Cool under pressure, with strong multitasking abilities
- Compassionate and client-focused, especially in emotionally charged moments
- Detail-oriented, organized, and proactive
- Tech-savvy and ready to learn new systems quickly
