Employment Type: Full time Shift: 12 Hour Night Shift Description: Performs clerical duties that support the daily activities of nursing units. Works cooperatively with the nursing staff and other health team members to enhance quality patient care and patient satisfaction. Adheres to MercyOne's performance expectations and performs all defined services and other related duties in accordance with the mission, vision and values of MercyOne. ESSENTIAL FUNCTIONS Acts as receptionist and assists in-patient care delivery when appropriate. Answers telephone calls promptly and politely and answers questions as appropriate. Ensures that accurate messages reach appropriate parties. When nursing staff not available, responds to patient call/emergency lights if possible. Politely greets patients, visitors, physicians and other health team members and directs appropriately. Anticipates needs of physicians, staff, patients and visitors (i.e., pulls charts for rounds, greets people by name when possible). Maintains knowledge of and efficiency utilizes all computer applications of assigned nursing units. Maintains knowledge, skills and ability to effectively work in at least 2 nursing units within one year of hire. Maintains sufficient quantity of chart supplies. Assembles new patient charts and when appropriate prepares in advance. Accommodates needs for special forms (i.e., renal, cardiac, diabetic, neuro flow sheet). Follows guidelines for thinning charts. Files reports such as lab, x-ray, EKG, H & P’s, consults, etc. Communicates abnormal results to appropriate person. Files charts for easy retrieval. Verifies availability of rooms for occupancy. Communicates with staff regarding new admissions, transfers and discharges. Compiles admission paperwork such as new and old charts, Kardex, listing allergies, etc. in accordance with unit specifications. Verifies correct admit status Maintains, verifies, and changes patients’ accommodation code if necessary. Assists in identifying a need to change patients’ admit status. Comprehends and initiates process to change a patients’ admit status. Maintains knowledge of and follows patient discharge protocol. Maintains ADT log and other department specific records. Maintains knowledge of unit specific rules/regulations and assures compliance. Ensures that old/thinned charts are sent to appropriate area for transfers. Maintains knowledge of and follows patient discharge protocol. Schedules and arranges outpatient follow-up needed after discharge. MINIMUM QUALIFICATIONS Experience: Without Medical Secretary Certification: Minimum of 3 years in a medical office or hospital setting (preferably 3–4 years). With Medical Secretary/Medical Administrative Secretary/Medical Assistant Certification: Minimum of 6 months to 2 years experience preferred. Education: High school diploma required; additional specialized training preferred (5–7 years combined education and experience). Certifications: Basic Life Support (BLS) Mandatory Reporter Certification/Licensure Required for Job Mandatory Reporter: Required for all applicable roles. Basic Life Support (BLS): Required if working in the Emergency Department (ED). Non-Violent Crisis Intervention Training (NVCI): Must be completed within 6 months of hire if working in ED or Mental Health Unit.
