Position Overview
The Marketing Events Specialist will support the North America Marketing team by executing event operations, ensuring smooth logistics, coordinating vendors, and managing event assets. This role requires someone highly organized, proactive, detail-oriented, and comfortable working in a fast-paced environment. Hybrid role with onsite responsibilities during events and key activations.
Key Responsibilities
1. Event Execution Support
- Coordinate all logistical details for North America events, including shipping, freight, tracking, and run-of-show updates.
- Manage vendor communication for installations, tear-downs, printing, and onsite requirements.
- Handle asset ordering, inventory tracking, replenishment, and post-event returns.
- Create and maintain event checklists, packing lists, timelines, and production trackers.
- Support athlete travel logistics (flights, hotels, per diem) when needed.
- Oversee credential requests, compliance submissions, and insurance certificate processing.
- Provide onsite support: event setup, breakdown, booth maintenance, product display refresh, and badge pickup.
- Process invoices, purchase orders, coding, and maintain event budget tracking.
2. Administrative & Operational Support
- Maintain updated event calendars, timelines, and deliverables.
- Provide cross-functional updates on event status, shipping, and asset delivery.
- Manage tracking documents for events, seeding, print materials, and internal requests.
- Conduct QA checks on all deliverables before routing to internal/external partners.
- Ownership of recurring weekly operational tasks to support team efficiency.
3. Event Marketing Support
- Manage asset delivery, including cropping, resizing, uploading, and distributing to retail partners.
- Maintain and update the asset hub and link library to ensure accuracy and accessibility.
- Track partner requests and provide timely status updates.
- Support production of in-store print materials (quotes, print orders, specs, approvals).
- Update sell-in decks, one-pagers, and product sheets with new product info.
- Pull basic reports such as sell-through data, placement logs, and activation recaps.
- Coordinate retail window installs, refreshes, and in-store event support with vendors and stores.
Minimum Requirements (Top 3–5 Must-Haves)
- 2 years of experience in event support, marketing operations, or related fields.
- Strong project management skills: logistics, timelines, vendor coordination, tracking tools.
- High level of reliability and accountability; consistently meets deadlines.
- Excellent communication skills with the ability to interact with multiple internal and external partners.
- Proficiency in Excel/Google Sheets, PowerPoint, shipping platforms, and basic asset management tools.
Preferred Qualifications
- Experience providing onsite event support with strong problem-solving and decision-making skills.
- Strong attention to detail, especially for QA of print materials, assets, and displays.
- Familiarity with creative routing, production timelines, and light design tasks (cropping, resizing).
- Ability to anticipate team needs, prioritize tasks effectively, and stay ahead of deadlines.
