About the Role

We are seeking a detail-oriented, self-driven, analytical, and process-minded Operations & Financial Analytics Analyst to support our medical communications and medical advertising agency. This role will focus on operational data analytics, project labor and cost management, operational efficiency, financial analysis, and ongoing management of our project management systems.

The ideal candidate is comfortable working across operations, finance, project management, and client service teams to turn data into actionable insights. This person will help ensure projects are properly tracked, labor and costs are managed effectively, operational processes are followed, and leadership has clear visibility into performance, utilization, project recovery, and profitability.

This role is well suited for someone who enjoys working with data, improving systems, identifying trends, and helping teams make better business decisions.

Key Responsibilities

Operational Data Analytics

· Develop, maintain, and analyze operational reports, dashboards, and metrics to support business decision-making.

· Track and analyze project performance, labor utilization, project recovery, budget-to-actuals, and operational efficiency.

· Identify trends, risks, gaps, and opportunities across project delivery, staffing, resourcing, and client work.

· Translate operational data into clear insights and recommendations for leadership and cross-functional teams.

· Support weekly, monthly, and quarterly reporting needs across operations, finance, and client service.

Project Labor and Cost Management

· Monitor project labor hours, costs, budgets, and burn rates on an ongoing basis.

· Support project teams in tracking labor against scopes of work, approved budgets, and client expectations.

· Help identify projects at risk of overages, margin pressure, under-recovery, or budget misalignment.

· Partner with leadership, client services, and project managers to improve visibility into project profitability and resource allocation.

· Assist with analysis related to staffing needs, utilization, labor planning, and project financial performance.

Financial Analytics and Business Support

· Support financial analysis related to revenue, gross margin, project recovery, utilization, client profitability, and operating performance.

· Assist with preparation of financial and operational reporting for leadership reviews.

· Help connect project-level data to broader agency financial performance.

· Support forecasting, planning, and business reviews by providing accurate data and thoughtful analysis.

· Work closely with finance to ensure project data, labor data, and financial reporting are aligned.

Operational Efficiency and Process Improvement

· Identify opportunities to streamline workflows, improve reporting accuracy, and reduce manual work.

· Support the development and implementation of operational processes, templates, dashboards, and reporting standards.

· Help ensure teams are following project setup, time tracking, budget management, and reporting processes.

· Partner with operations and project management teams to improve data quality and process consistency.

· Recommend improvements to tools, workflows, and reporting structures that support agency efficiency and scalability.

Project Management System Management

· Support ongoing administration, maintenance, and optimization of the agency’s project management system. This includes building and maintaining pre-determined timelines in our Project Management system, ensuring milestones, dependencies, deadlines, and task owners are accurately reflected.

· Ensure project records, budgets, timelines, tasks, labor tracking, and reporting fields are accurate and up to date.

· Help maintain data integrity across project management, time tracking, and financial reporting systems.

· Build or support reports and dashboards within the project management system.

· Train or assist users as needed to improve adoption, consistency, and proper system usage.

· For high priority projects

  •  Serve as project "traffic controller," proactively monitoring task progress and ensuring work is routed to the appropriate team members at the right time.
  • Enter and maintain labor hour estimates and resource allocations within Hive to support project planning and reporting.

Qualifications

· Bachelor’s degree in Business, Finance, Accounting, Operations, Analytics, or a related field preferred.

· 2 years of experience in operations, finance, analytics, project management, or agency operations preferred.

· Experience in a medical communications, healthcare advertising, marketing agency, professional services, or client-service environment is a plus.

· Strong analytical skills with the ability to interpret data, identify trends, and communicate insights clearly.

· Proficiency in Excel; experience with dashboards, reporting tools, or data visualization platforms is a plus.

· Experience working with project management systems, time tracking systems, or financial reporting tools preferred.

· Strong attention to detail and commitment to data accuracy.

· Ability to manage multiple priorities in a fast-paced, deadline-driven environment.

· Strong communication skills and ability to work cross-functionally with finance, operations, project management, and client service teams.
