Overview

We are seeking a dedicated and organized Office Assistant to join our dynamic team. This role is essential in ensuring the smooth operation of daily office activities, providing administrative support, and delivering exceptional customer service. Duties

  • Manage front desk operations, including greeting visitors and directing inquiries professionally
  • Operate multi-line phone systems with courteous phone etiquette and provide prompt assistance
  • Perform data entry tasks using Microsoft Office, Google Workspace, and other office software
  • Maintain accurate filing systems, both electronic and paper-based, ensuring easy retrieval of documents
  • Support bookkeeping activities such as invoicing, billing, and basic bookkeeping using QuickBooks or similar software
  • Assist with calendar management and scheduling appointments for staff or clients
  • Provide customer support through effective communication and problem-solving
  • Proofread documents for accuracy and clarity before distribution
  • Handle incoming correspondence, emails, and phone calls efficiently
  • Support office management tasks including supply inventory, organization, and general administrative duties

Experience

  • Prior experience working in an office environment or as a receptionist is highly preferred
  • Demonstrated clerical experience involving data entry, filing, and document proofreading
  • Proven ability to manage multi-line phone systems and provide excellent customer service
  • Bilingual abilities are a plus to serve diverse clientele effectively
  • Familiarity with office management software such as Microsoft Office Suite and Google Workspace
  • Experience with medical or dental receptionist duties is advantageous but not required
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Excellent time management skills with a focus on efficiency and accuracy
  • Personal assistant or administrative support experience will be considered an asset
