Summary
We are seeking an organized self-starter for an entry level office coordinator position in our Airfield & Renewable Energy Division. You will play a primary role in ensuring that all office administrative functions are coordinated to achieve a high level of productivity within the company. Prior experience or familiarity with document controls, submittal processes, project specifications, RFI management, Procore, Heavy Bid, Spectrum, CLI, Primavera p6, and Bluebeam is desirable.
The office coordinator will assist & support the Project Management team in performing administrative functions such as transmitting of documents to/from Client/Subs/Suppliers/etc., general construction document controls, assisting in subcontractor & supplier billings/invoices, and other tasks as assigned by the Project Manager.
Job Duties and Responsibilities
- Assist project manager in all administration functions and processes.
- Monitor all moving parts of the project keeping them synchronized and moving forward.
- Prepare, organize, and distribute all necessary project materials.
- Organize and implement policies and procedures.
- Communicate pertinent information between management and staff.
- Ability to work and interact with departments throughout the organization.
- Daily coordination with Project Managers, on multiple projects, on a continuous basis. To include incoming/outgoing correspondence.
- Project coordination between the general contractor, architect, owner, and subcontractors via email and phone communication.
- Coordination of correspondence between the general contractor, architect, owner, and subcontractors via shared networks, FTP sites, email, fax, and phone communication.
- Meeting agenda and minute preparation, and execution using both word/excel or Procore as templates.
- Taking minutes in meetings and transferring to official meeting minutes.
- Contract document control: i.e., drawings, contracts, change orders, RFI’s, Submittals
- Scheduling of meetings and reminders
- Daily use of Microsoft Word, Excel, Outlook, FTP, Procore, Spectrum, and other related Project management software.
- Use of copy, fax, phone, scan, internet search.
- Back up of reception as needed; answering phones, covering front desk when reception is absent.
Knowledge/technical competencies
- 2 years proven experience as a project administrator or in similar role.
- Solid organizational skills, including multitasking and time management.
- Proficiency in Microsoft Suite (particularly Excel)
- Excellent communication skills both oral and written.
