The Events & Logistics Coordinator plays a key role in ensuring Hyperice’s marketing initiatives and event operations run smoothly and efficiently. This role supports both event execution and logistics, helping internal teams and on-site staff perform at their best. The ideal candidate is highly organized, detail-oriented, proactive, and passionate about delivering exceptional event experiences. They must thrive in a fast-paced environment, remain flexible under pressure, and bring a positive, solutions-oriented attitude to every situation.


This role requires learning the full Hyperice product lineup, understanding how to properly handle, demonstrate, and educate consumers on these products. The position is approximately 85% event coordination and execution and 15% logistics, including physical labor such as packing outbound shipments and receiving, cleaning, and re-kitting inbound equipment.


Logistics & Event Planning

  • Coordinate and execute corporate events including trade shows, mass participation expos, seminars, conferences, and internal activations.
  • Coordinate with external vendors such as hotels, travel agencies, A/V teams, printers, furniture rental and procurement, and other partners.
  • Manage shipping logistics for all inbound and outbound event equipment, including inventory management, tracking, internal and external communication and, at times, physical shipping and pallet packing needs.
  • Negotiate carrier rates and implement cost-saving measures across all event shipments.
  • Serve as the primary liaison between the Events team and Shipping Department for all above-and-beyond logistics needs.
  • Oversee event inventory allocation and tracking; conduct outreach for unreturned or missing items as Maintain the Hyperice event van, ensuring cleanliness, organization, and readiness.

 

Event Execution

  • Lead on-site event setup, breakdown, and overall event floor operations.
  • Build and maintain positive relationships with speakers, attendees, partners, and internal teams.
  • Handle all post-event needs, including data entry, reconciliation, and analytics, and monthly post-event sales reporting.
  • Utilize CRM and event management tools for registration, monitoring, and tracking of event activity.
  • Oversee inventory of marketing collateral, equipment, and program materials, including off-site storage and collaboration with 3PL warehouses.
  • Work alongside entire marketing team in to support the execution of hybrid event-marketing initiatives (e.g., onsite leading generation, digital campaigns, event advertising, collateral production).
  • Source products, collateral, and program materials as needed.
  • Collaborate with internal teams to provide direction to vendors and partners, ensuring all events align with organizational objectives.
  • Maintain a proactive, team-focused, can-do attitude throughout all phases of event planning and execution.
  • Continuously seek opportunities to innovate and elevate Hyperice event experiences.


Qualifications

  • 2–3 years of professional experience preferred.
  • Bachelor’s Degree required, ideally in Marketing, Events, Communications, or a related field.
  • Highly analytical, detail-oriented, organized, and dependable.
  • Excellent written and verbal communication skills; experience coordinating with external vendors is a plus.
  • Comfortable working in a fast-paced environment with shifting priorities.
  • Ability to manage multiple projects simultaneously and work both independently and collaboratively.
  • Positive, proactive, and resourceful attitude that supports strong teamwork.
  • Self-starter with the ability to take initiative and problem-solve on the fly.
