What are the responsibilities and job description for the Wholesale Fulfillment Analyst position at HydroJug?

Wholesale Fulfillment Analyst

HydroJug | Operations & Fulfillment

Location: Ogden, UT (On-site)

About the Role

The Wholesale Fulfillment Analyst is the operational backbone of HydroJug’s wholesale fulfillment organization. Where the Wholesale Planner focuses on forecasting, assortment strategy, and forward-looking demand planning, this role ensures that what gets planned actually gets delivered — on time, accurately communicated, and with minimal surprises.

This position sits at the center of:

  • Wholesale order governance
  • Inventory coordination
  • Fulfillment risk management
  • Inbound visibility
  • Retailer communication
  • Operational execution

The primary responsibility of this role is to ensure that wholesale orders entering the fulfillment pipeline are:

  • Accurate
  • Inventory-aligned
  • Operationally feasible
  • Proactively managed before they ever reach warehouse execution.

This is not a traditional order entry or administrative support role. This role functions as a critical operational control point responsible for:

  • Preventing downstream fulfillment issues
  • Proactively identifying inventory and timing risks
  • Aligning customer expectations with operational reality
  • Protecting fulfillment reliability
  • Helping create operational stability across the business

The ideal candidate is someone who:

  • Thinks proactively
  • Enjoys solving operational problems
  • Communicates confidently
  • Notices issues before they escalate
  • Thrives in fast-moving environments
  • Wants to grow into a larger operational leadership role over time

What Success Looks Like

Success in this role means:

  • Wholesale orders are fully fulfillable before release to execution
  • Inventory risks are identified early
  • Customers are informed proactively
  • Partial shipments are minimized or eliminated
  • Fulfillment planning operates with stable priorities
  • The warehouse receives clean, executable demand
  • Operational surprises decrease
  • Retailer trust remains strong through proactive communication

The ultimate goal is simple:

No order should enter execution unless we already believe it is fulfillable.

Core Responsibilities

1. Wholesale Order Governance & PO Management Ensure all incoming wholesale purchase orders are accurate, operationally feasible, compliant, and ready for fulfillment execution before approval and release.

2. Inventory Feasibility & Allocation Management Review inventory availability, inbound timing, and allocation strategy to ensure approved orders can realistically be fulfilled within customer timelines.

3. Inbound & Warehouse Coordination Coordinate inbound visibility and warehouse execution timing to align fulfillment demand with operational capacity and prevent downstream disruptions.

4. Customer Communication & Exception Management Proactively communicate fulfillment risks, shortages, substitutions, and timing adjustments to retail customers before issues impact shipment execution.

5. Forecast Alignment & Operational Analysis Monitor incoming order demand against customer forecasts and internal planning assumptions to identify forecast variance, inventory risk, and operational trends early.

6. Data Integrity & Operational Reporting Maintain reliable order and item-level data while supporting operational visibility, reporting accuracy, and continuous process improvement across the wholesale fulfillment workflow.

Qualifications Required

  • 2 years of experience in supply chain, operations, wholesale operations, logistics, customer operations, or order management
  • Strong attention to detail and operational organization
  • Comfortable managing large volumes of order-level information without losing accuracy
  • Strong written and verbal communication skills
  • Ability to prioritize effectively in a fast-moving environment
  • Strong problem-solving and critical thinking skills
  • Comfortable working cross-functionally between sales, planning, operations, and warehouse teams
  • Proficiency in Excel and/or Google Sheets

Preferred

  • Experience with ERP systems (NetSuite preferred)
  • Experience with wholesale fulfillment or retail operations
  • Experience with EDI order management
  • Familiarity with warehouse operations or inbound logistics
  • Experience working directly with retail buyers or wholesale customers
  • Experience with operational reporting or data analysis

Growth Opportunity

This role is designed to grow over time. The ideal candidate is someone who wants to:

  • Develop operational ownership
  • Improve systems and workflows
  • Expand into fulfillment strategy and operational leadership
  • Help build scalable wholesale operations
  • Contribute to the development of world-class fulfillment processes

As HydroJug continues to scale, this role will evolve into a key part of the company’s operational infrastructure and fulfillment control framework.

Success in the First 12 Months

In the first 12 months, the successful candidate will:

  • Build strong ownership of wholesale order governance workflows
  • Develop confidence managing inventory timing, inbound coordination, and retailer communication
  • Improve visibility into fulfillment readiness and operational risk
  • Help reduce fulfillment surprises and partial shipment risk
  • Contribute to more stable and predictable warehouse execution
  • Support improvements in operational reporting, process consistency, and order visibility
  • Become a trusted operational partner across Sales, Planning, Operations, and Warehouse teams

How to Apply
