The Maintenance Manager / Property Manager is responsible for the overall maintenance, physical condition, operational efficiency, administrative compliance, and day-to-day management of the property. This position requires hands-on maintenance work, resident relations, rent collections, compliance oversight, reporting, and management of all property operations to ensure a safe, clean, well-maintained, and financially sound community.

This position will handle 42 units.

Exempt unit available for on-site position.

Qualifications

  • Have the ability to speak, read, write, and understand English and comply with both written and verbal instructions.

  • Be able to follow the Injury and Illness Prevention Plan and read all safety and warning labels.

  • Have the ability to follow and provide technical instructions.

  • Be capable of lifting up to 50 pounds on a daily basis.

  • Have manual dexterity with both hands and arms.

  • Be able to climb stairs and ladders regularly.

  • Be able to move heavy objects including furniture, appliances, and maintenance equipment.

  • Possess strong organizational, communication, customer service, and administrative skills.

  • Have knowledge of property management software, compliance requirements, and fair housing regulations.

  • Be bilingual in English and Spanish when required.

The employee will be expected to:

  • Become knowledgeable in all safety precautions associated with maintenance and property operations.

  • Adhere to all Company Safety Policies and Procedures.

  • Maintain a professional appearance in accordance with company standards.

  • Report to work promptly and maintain a consistent work schedule.

  • Attend required training sessions, educational courses, and certification programs.

  • Limit personal calls, social media usage, and cell phone use to breaks and emergencies.

  • Maintain positive and professional relationships with residents, vendors, contractors, employees, and regulatory agencies.

Administrative Duties

Responsibilities include but are not limited to:

  • Oversee the daily operations of the property.

  • Collect rents and other charges in accordance with company policies.

  • Prepare and serve notices as required.

  • Manage resident accounts and maintain accurate records.

  • Process move-ins, move-outs, lease renewals, and resident transfers.

  • Maintain all resident files and ensure compliance with federal, state, local, and agency regulations.

  • Complete annual and interim recertifications when applicable.

  • Ensure file compliance for affordable housing programs, tax credit programs, HUD, Rural Development, or other regulatory requirements.

  • Prepare and submit monthly, quarterly, and annual reports.

  • Monitor occupancy levels and implement leasing and retention strategies.

  • Coordinate resident communications and respond to resident concerns.

  • Maintain waiting lists and applicant files.

  • Conduct resident orientations and inspections.

  • Track budgets and expenses and review financial performance with ownership and supervisors.

  • Obtain bids and coordinate vendor services.

  • Process purchase orders and invoices.

  • Ensure all required reports, inspections, licenses, permits, and certifications remain current.

  • Maintain confidential resident and company information.

  • Perform other managerial and administrative duties as assigned.

Maintenance Responsibilities

  • Assist in the development and implementation of the property's Maintenance and Preventive Maintenance Plans.

  • Perform semi-annual inspections and routine property inspections.

  • Meet weekly with supervisors to discuss property needs and monthly to review budgets.

  • Prepare and coordinate weekly maintenance schedules.

  • Establish and maintain on-call schedules for after-hours and weekend emergencies.

  • Follow the Crisis Management Plan during emergencies.

  • Respond promptly to resident work orders and maintenance requests.

  • Complete emergency work orders immediately and non-emergency work orders within 24 to 72 hours.

  • Diagnose and repair electrical, plumbing, HVAC, irrigation, mechanical, lighting, and other building systems.

  • Ensure all maintenance work is completed professionally and safely.

  • Perform all unit turnover activities including:

    • Cleaning vacant units

    • Painting

    • Appliance inspections and repairs

    • Flooring repairs

    • Fixture replacement

    • General maintenance and preparation for occupancy

  • Ensure units are move-in ready according to company standards.

  • Perform lawn care and landscape maintenance including:

  • Maintain irrigation systems.

  • Maintain playgrounds and common areas, such as laundry room,

Position Expectations

This position combines property management, compliance administration, resident services, maintenance operations, lawn care, work order completion, unit turns, property cleanup, and laundry room maintenance. The employee is expected to maintain the property at the highest operational standards while ensuring resident satisfaction, regulatory compliance, and preservation of company assets.
