Position Overview
We are seeking a highly organized, proactive, and detail-oriented Visual Creative Coordinator / Associate to support our creative production team across a wide range of visual content initiatives. This role plays a critical part in ensuring the seamless execution of productions by managing administrative operations, logistics coordination, and on-set support.
The ideal candidate thrives in fast-paced environments, anticipates team needs proactively, and is comfortable balancing both operational responsibilities and hands-on production support. This role requires strong communication skills, adaptability, and a collaborative mindset to effectively support cross-functional teams, external vendors, stylists, glam teams, and creative partners throughout all stages of production. We’re looking for someone who is passionate about creative production, highly dependable, communicative, and eager to contribute in both office and on-set environments with flexibility, professionalism, and a strong team-first attitude.
This is a full-time, hybrid role based in our Santa Monica office, with in-person collaboration 3 days per week and remote work 2 days per week.
Key Responsibilities
- Coordinate communication and scheduling between internal teams, artists, external vendors, glam teams, stylists, and production staff to ensure smooth project execution and alignment across stakeholders
- Provide day-to-day operational and administrative support for visual creative projects, including shoot prep, fittings, and production coordination
- Manage project logistics, including purchase orders, invoices, payments, expense tracking, vendor coordination, and archiving processes
- Support wardrobe and glam operations, including sourcing, purchasing, returns, equipment rentals, inventory organization, steaming, pinning, packing, and on-set preparation
- Assist with shoot and fitting logistics, including call sheets, schedules, transportation coordination, and production-related documentation
- Maintain organized records, digital assets, receipts, and production materials to support efficient team workflows and project continuity
- Help coordinate shipping, messenger services, sample trafficking, and product deliveries for shoots and events
- Provide on-site production assistance during shoots, fittings, and events, ensuring all materials, wardrobe, and equipment are prepared and accounted for
- Anticipate operational needs and proactively troubleshoot logistical or scheduling challenges in real time
- Support the creative team with additional administrative and production-related tasks as needed in a fast-paced environment
Qualifications
- Strong organizational, time management, and multitasking skills with exceptional attention to detail
- Ability to work independently while collaborating effectively across cross-functional teams
- Excellent verbal and written communication skills with a professional and solutions-oriented approach
- Comfortable working in a fast-paced, high-volume production environment with shifting priorities and tight deadlines
- Strong work ethic with a high level of accountability, responsibility, adaptability, and follow-through
- Ability to work flexible hours in both office and on-set environments, including evenings, weekends, holidays, and extended production days as needed
- Valid driver’s license and reliable access to transportation
- Minimum commitment of 3 days per week onsite at locations including the Santa Monica office, studios, production sets, and shoots
- Physically active role involving lifting, carrying, organizing, and transporting wardrobe, equipment, and production materials
- Willingness and ability to travel frequently for domestic and international productions, events, and shoots as needed
- Ability to obtain and maintain all necessary travel documentation, including a valid passport and appropriate travel authorization, without travel restrictions that would impact job responsibilities
It’s a bonus if you have
- Experience in creative production, fashion, entertainment, music, media, or a related industry
- Familiarity with wardrobe styling, sample trafficking, and fashion logistics
- Experience supporting photoshoots, video productions, campaigns, or live events
- Proficiency in Microsoft Office Suite, Google Workspace, and Adobe Acrobat Pro
- Familiarity with production management tools, file organization systems, or creative workflow platforms
- Strong interest in music, fashion, visual storytelling, and pop culture
- Bilingual proficiency in Korean and/or Japanese is a plus

Salary Range
The salary range for this job is $70,304 to $78,000. This is a good faith effort at the time of posting. This range is base salary only and does not include benefits and any other compensatory components of the role.
