The Reservations Coordinator at Hyatt Regency St. Louis will assist with administrative duties including but not limited reservations entry, billing coordination, and customer follow-up. The ideal candidate will demonstrate initiative and problem-solving skills on assignments.
Responsibilities
Candidate will manage reservations process for group, transient, and contracted rooms
- Maintain relationships with Sales and Events teams to coordinate reservations for all groups.
- Input and update group rooming list as needed.
- Monitor and enter all new group reservations, including web reservations, with complete data (name, address, email, etc.)
- Oversee Group Concession with the Event Planning team.
- Set-up and monitor all VIPs.
- Assist with the financial setup of reservations payments, accounts, and special billing.
- Ensure accurate billing of all individual reservations within group blocks.
- Process all lists and manifests from Contracted Rooms.
- Facilitate special projects for groups such as blocking, billing and other needs. This will also involve other duties that may arise to collaborate with the Sales and Events Coordinators.
- Review Group Detail Reports for accuracy and facilitate any corrections with EPM. Ensure smooth transition of group to Front Office Team.
- Create web links for all upcoming call-in groups with appropriate inventory allocated in Reserve.
- Manage the process of group bookings from Envision into Opera/Reserve.
- Attend Service Meeting to communicate Reservations process and follow up on key information.
- Work closely with the Front Desk to communicate the special needs of group, transient, and contracted guests. Learn a good working knowledge of Front Desk check-in/checkout process to assist the Front Office where needed.
