We are seeking a highly organized and detail-oriented Sales Coordinator & Event Planner to support our sales team and ensure seamless coordination of group bookings, corporate accounts, and event planning. Position Summary
The Sales Coordinator is responsible for managing the administrative and logistical aspects of sales operations, including room blocks, event planning, and client communication. This role works closely with multiple departments to ensure all event details are planned accurately and executed smoothly by operations teams.
Responsibilities
- Coordinate and manage group bookings, room blocks, and PM accounts while ensuring all reservation details are accurately entered and maintained
- Assist with the preparation of proposals, contracts, Banquet Event Orders (BEOs), and group resumes, ensuring accuracy through careful proofreading and data entry
- Maintain organized records of client interactions, bookings, rooming lists, and sales activities using Microsoft Office and internal hotel systems
- Support administrative operations by managing booking files, updating documentation, and overseeing clerical duties including typing, filing, and record keeping
- Provide professional communication support by responding to client inquiries, handling phone and email correspondence, and ensuring timely follow-up
- Collaborate with the sales team and other departments to coordinate event planning details, communicate timelines, and ensure all requirements are documented prior to execution
- Coordinate event planning logistics by preparing detailed floor plans, outlining setup instructions, and communicating requirements to operations teams
- Assist with corporate account reservations, invoicing processes, and post-stay documentation to ensure accuracy and efficiency
- Monitor banquet and event planning details including F&B requirements, inventory needs, and scheduling coordination with internal teams
- Ensure all event and group details are finalized in advance, providing clear documentation to support smooth execution by operations teams
Qualifications
- Proven experience in office management or administrative support roles within a hospitality or customer service environment
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills
- Familiarity bookkeeping and basic financial record keeping
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting
- Bilingual abilities are a plus to serve diverse clientele effectively
- Exceptional phone etiquette skills along with experience managing multi-line phone systems and calendar management tools
- Clerical experience including filing, proofreading, typing accuracy, and document preparation
- Demonstrated customer service skills with a friendly demeanor and professional attitude
- Ability to handle sensitive information discreetly while maintaining high levels of accuracy in data entry and record keeping
