The Advancement Coordinator supports the organization's fundraising efforts through the

management of donor data, gift processing, fundraising systems, and special events. This

position serves as the primary administrator of the organization's donor database (CRM),

ensuring the accuracy and integrity of constituent records, gift tracking, reporting, and

fundraising analytics. The Advancement Coordinator also plays a key role in planning and

executing fundraising events, managing event logistics, registrations, sponsorship fulfillment, and post-event reporting.

The ideal candidate is highly organized, detail-oriented, technically proficient, and capable of managing multiple projects while providing exceptional service to donors, sponsors, volunteers, and event participants.

Principal Duties and Responsibilities

CRM & Fundraising Operations

  • Serve as the primary administrator for the organization's donor database (CRM),

maintaining accurate donor, volunteer, sponsor, and constituent records

  • Process and reconcile charitable contributions, event revenue, sponsorship payments,

and in-kind donations

  • Generate fundraising reports, donor lists, dashboards, and analytics to support

fundraising strategy and decision-making

  • Maintain data integrity through regular audits, record updates, duplicate management,

and database cleanup

  • Create and manage online donation forms, peer-to-peer fundraising pages, event

registration sites, and fundraising campaigns

  • Coordinate gift acknowledgments and donor recognition processes
  • Support donor segmentation, mailing lists, and campaign tracking
  • Collaborate with finance staff to ensure accurate reconciliation of fundraising revenue

and donor records

  • Assist with sponsorship tracking, benefit fulfillment, and reportingEvent Management
  • Coordinate logistics for fundraising events, donor cultivation events, volunteer activities,

and community engagement programs

  • Manage event registration systems, attendee communications, seating assignments,

and guest lists

  • Coordinate vendor relationships, contracts, venue logistics, catering, audiovisual needs,

and event materials

  • Track sponsorship commitments, auction items, event revenue, and event expenses
  • Recruit, coordinate, and support event volunteers
  • Assist with event marketing and promotional communications
  • Support on-site event execution, including registration, donor engagement, volunteer

management, and troubleshooting

  • Conduct post-event reporting, revenue reconciliation, and attendee follow-up activities

Administrative Support

  • Maintain event calendars, timelines, and project plans
  • Assist with donor stewardship and acknowledgement efforts
  • Support fundraising campaigns and department initiatives as assigned
  • Maintain accurate records and documentation in compliance with organizational

policies and audit requirements

Education, Experience, and Skills Required

  • Bachelor's degree preferred or equivalent combination of education and experience
  • Two or more years of experience in nonprofit fundraising, event planning, database

administration, customer relationship management, or related fields

  • Must have a valid Indiana driver’s license and be eligible for HVAF’s auto insurance

at all times during employment per insurance carrier’s requirements

  • Must be able to successfully complete a background screening with an acceptable

outcome

  • Ability to lift, move, and organize materials weighing up to 45 pounds
  • Experience with donor management systems such as Bloomerang, Raiser's Edge,

Salesforce, DonorPerfect, or similar CRM platforms

  • Experience managing fundraising events and event registration platforms
  • Strong proficiency in Microsoft Excel, Outlook, and reporting tools
  • Exceptional organizational skills and attention to detail
  • Ability to manage multiple projects, deadlines, and competing priorities
  • Ability to work both independently and collaboratively, both internally and externally

with teams and departments within HVAF and outside organizations and partners,

while leading and supporting the overall goals and objectives of the Advancement

Department

  • Strong written and verbal communication and presentation skills
  • Excellent customer service and relationship management abilities
  • Ability to analyze data and generate meaningful reports
  • Ability to work occasional evenings and weekends for events Strong commitment to HVAF’s mission and a passion for serving veterans and

Pay: From $55,000.00 per year
