HCM Wealth, a growing wealth management firm based in San Rafael, CA, is seeking a Client Services Associate or Senior Client Services Associate to support our Wealth Advisors and provide exceptional service to our clients. As part of our operations team, you’ll play an integral role in ensuring that client needs are met and that our client experience remains of the highest quality. In this role, you will be responsible for executing key administrative tasks, including assisting with account openings, processing paperwork, scheduling client meetings, and preparing reports. You will ensure that CRM data is accurate and assist with follow-up actions for client inquiries or requests. Your commitment to providing friendly and professional service will directly contribute to high client retention rates, a hallmark of HCM Wealth’s success. Additionally, you will work closely with your team to streamline internal processes, learn about investment products, and continuously improve our client service strategies.
Duties, Responsibilities and Requirements
- Provide ongoing day-to-day support to the firm’s Wealth Advisors and clients, primarily HNW individuals and families.
- Experience in CRM, portfolio accounting software (Orion preferably), and custodian interfaces (Schwab preferably).
- Excellent communication and follow-up skills in interacting with clients and team members.

- Receive client calls and resolve questions/issues as needed.
- Frequent custodian interaction & paperwork processing.
- Process account openings, funding, deposit electronic checks, money movements, process tasks with custodian.
- Prepare custodian Paperwork/DocuSign envelopes, alerts, and new account setup in various systems.
- Schedule client meetings.
- Develop knowledge of investment accounts, products and the forms required to transact business.
- Assist with internal coordination across various team members to ensure tasks/ follow up are completed in a timely manner.
- Responsible for cash transfers, wires, data maintenance, reporting and trading as needed.
- Ongoing maintenance and quality control of CRM.
- Preparation and follow-up for client meetings.
- Execute client appreciation and retention activities.
Required Credentials
- A Bachelor’s degree
- A minimum of 1 years industry experience
- Interest in pursuing CFP designation and/or Series 65 is preferred

Compensation Range
The expected base salary for this position is a range between $70,000-$90,000, plus eligibility for a discretionary bonus
