Position Summary
The Front Desk Administrator is responsible for patient intake tasks, communication, scheduling, insurance verification, and ongoing coordination with clinical and management staff. This role requires strong communication skills, consistent follow through, and comfort navigating electronic systems such as our EHR, email, and billing platforms. Experience in a medical or behavioral health setting is preferred.
Key Responsibilities
Patient Support and Communication
- Warmly greet patients in person and by phone, demonstrating professionalism and compassion
- Manage incoming calls, voicemails, emails, and portal messages
- Provide guidance to new patients regarding the intake process
- Communicate scheduling changes, follow up needs, and appointment reminders
Scheduling and Appointment Management
- Schedule new patient evaluations and follow up appointments
- Reschedule appointments as needed and monitor daily schedule flow
- Track no shows and late cancellations
- Coordinate with providers to ensure appropriate visit types and appointment lengths
Administrative and Operational Tasks
- Check insurance eligibility and benefits
- Collect copays, deductibles, and outstanding balances
- Process patient payments and maintain accurate payment logs
- Scan and upload documents into patient charts
- Fax required forms and communicate with pharmacies, primary care providers, and other offices
- Package and send weekly collection logs and remittance information
- Ensure all required forms are received and filed correctly
- Monitor waiting room flow and maintain a welcoming environment
Preferred Experience
- Prior administrative or front desk experience in healthcare
- Familiarity with insurance verification and basic billing concepts
- Strong phone etiquette and written communication
- Comfort using EHR systems, digital faxing, and cloud based tools
- Ability to adapt to changes as the clinic grows and workflows evolve

Schedule and Compensation
- Clinic hours are 10 am to 6 pm, Monday through Friday
- $18 to $21 per hour based on experience
- Expected weekly schedule is 16 to 24 hours per week
