Essential Responsibilities
Administrative & Office Support
- Process daily paperwork, invoices, and store documentation accurately and timely.
- File and maintain organized employee, customer, vendor, and business records.
- Answer incoming phone calls and direct inquiries to the appropriate department.
- Assist customers with account questions, payments, and general administrative requests.
- Prepare deposits and balance daily cash, checks, and credit card transactions as assigned.
- Maintain office supplies and order replacements when necessary.
Accounts Payable & Receivable
- Process vendor invoices and reconcile purchase orders.
- Assist with customer billing, statements, and payment processing.
- Research and resolve invoice discrepancies with vendors and internal team members.
- Maintain accurate financial records in accordance with company procedures.
Inventory & Receiving Support
- Enter receiving paperwork and maintain accurate inventory records.
- Assist with purchase order documentation and filing.
- Support inventory counts and audits as needed.
- Ensure required paperwork is complete and submitted accurately.
Customer Service
- Provide friendly, professional service to customers both in person and over the phone.
- Assist with special orders, account inquiries, and administrative requests.
- Work collaboratively with sales and warehouse teams to ensure accurate communication and documentation.
General Store Support
- Assist management with reports, data entry, and special projects.
- Maintain confidentiality of company and employee information.
- Support store operations by performing additional administrative duties as assigned.
Qualifications
- High school diploma or equivalent preferred.
- Previous office, administrative, bookkeeping, or retail experience preferred.
- Strong attention to detail and organizational skills.
- Basic accounting and cash-handling experience preferred.
- Proficient with Microsoft Office (Outlook, Excel, Word) and general computer applications.
- Ability to learn point-of-sale and inventory management systems.
- Strong written and verbal communication skills.
- Ability to work independently while managing multiple priorities.\
- Ability to sit, stand, and walk for extended periods.
- Ability to lift up to 20 pounds occasionally.
- Frequent use of computers, phones, and office equipment.
- Ability to bend, reach, and file documents.
