POSITION SUMMARY

The Assistant Director is responsible for supporting revenue growth, operational excellence, scheduling accuracy, and overall student experience at the Center. The AD reports directly to the Center Director (CD). The AD serves as the operational backbone of the Center and ensures:

  • Accurate scheduling
  • Strong parent communication
  • Clean administrative execution
  • Effective teaching floor management
  • Compliance with Huntington standards
  • Smooth daily center operations
  • Accurate, up-to-date student instructional programs

This role requires a high level of organization, attention to detail, ownership, and leadership presence.

CORE RESPONSIBILITIES

1. Center Operations & Administration

The Assistant Director is responsible for daily administrative execution, including:

  • Managing the center inbox and webphone
  • Maintaining 0 unread/unresolved messages at end of day
  • Creating and maintaining student and teacher schedules
  • Sending weekly schedule no later than 9PM on Thursdays
  • Scheduling make-up sessions
  • Scheduling interim conferences (ICs)
  • Managing appointment book/calendar
  • Data entry and file maintenance
  • Maintaining Student Permanent Folders
  • Maintaining Student Instructional Binders
  • Maintaining student attendance records
  • Maintaining accurate student program status

2. Academic Evaluations & Conferences

The AD performs educational administrative tasks including:

  • Administering Academic Evaluations (AEs)
  • Correcting and writing up AEs
  • Conducting AE intakes as assigned
  • Preparing and submitting complete Virtual Conferencing Packets
  • Conducting Student Interim Conferences — brief, private (parent-not-present) progress meetings held with the student, generally before the parent IC, to build rapport, confirm the student has “bought into” the Center, reinforce how well he is doing, and gather insight to discuss at the parent conference

3. Student Program Checks & Reprogramming

The AD safeguards the quality, accuracy, and appropriateness of every student’s instructional program by performing regular program checks, including:

  • Reviewing each student’s instructional program at least per week
  • Monitoring, programming, and reprogramming instructional programs as needed (e.g., too hard, too easy, finished, new skill, or an IC/Interim Test necessitates a change)
  • Ensuring students are reprogrammed promptly when progress indicators warrant it

4. Scheduling & Teaching Floor Management

The AD ensures smooth instruction by:

  • Supervising part-time teaching staff
  • Managing student-teacher ratios
  • Anticipating teacher needs
  • Adjusting schedules to maintain coverage
  • Ensuring no missed sessions or double bookings
  • Teaching students as needed
  • Teaching each new student during their first session
  • Ensuring instructional accuracy and effectiveness

The AD is accountable for the performance and professionalism of the teaching floor.

5. Financial & Billing Responsibilities

The AD performs financial administrative duties including:

  • Developing and reviewing billing statements
  • Collecting tuition payments
  • Collecting overdue tuition and fees
  • Scheduling make-ups appropriately
  • Minimizing payroll cost through optimized scheduling

6. Staff Management

The AD supports staffing functions including:

  • Hiring and training part-time teachers (as assigned)
  • Conducting teacher meetings
  • Motivating and evaluating part-time staff
  • Performing teacher observations (as assigned)
  • Managing Daily Time Sheets
  • Calculating payroll hours
  • Submitting payroll to Ownership for approval

7. Marketing & Sales Support

The AD supports center growth by:

  • Conducting initial inquiries
  • Supporting consultations (as assigned)
  • Supporting Google review follow-up
  • Maintaining professional parent relationships

8. Facility & Brand Standards

The AD is responsible for maintaining:

  • Clean waiting room
  • Clean instructional areas
  • Clean offices and bathrooms
  • Organized hallways and shared spaces
  • Inventory tracking
  • Submitting supply needs to CD for approval

The AD must adhere to:

  • Huntington Code of Ethics
  • Huntington Brand Standards Manual

PERFORMANCE EXPECTATIONS

The Assistant Director is expected to:

  • Operate with minimal oversight
  • Maintain scheduling accuracy (0 critical errors)
  • Maintain clean inbox daily
  • Keep every student’s program current and complete, with program checks on schedule
  • Demonstrate strong attention to detail
  • Think proactively, not reactively
  • Identify inefficiencies and suggest improvements
  • Represent Huntington professionally at all times

WORK STRUCTURE

This is a full-time position requiring approximately 45 hours per week. The Assistant Director works primarily in-center and must be physically present to manage operations and supervise instruction.

Pay: $42,000.00 - $45,000.00 per year
