Position Overview
Huntington & Ellis is seeking an experienced, highly organized, and self-motivated Licensed Listing Manager to join our fast-growing brokerage.
The Listing Manager plays a vital role in successfully preparing, launching, and managing property listings for The Craig Tann Group, a high-producing real estate team. This position coordinates listing paperwork, calendars, MLS entries, marketing materials, showing instructions, offers, and transaction documents while maintaining clear and timely communication with sellers, agents, title and escrow companies, and vendors.
The ideal candidate has strong knowledge of the Nevada real estate industry, excellent written and verbal communication skills, and exceptional attention to detail. This person must be able to manage multiple listings and deadlines simultaneously, work well under pressure, and prioritize time-sensitive responsibilities.
Key Responsibilities
Listing Preparation and Coordination
- Enter listing appointments, photography appointments, videography appointments, and MLS activation dates into the appropriate calendars.
- Prepare listing packages for listing agents and buyer’s agents.
- Prepare listing paperwork in TransactionDesk and send documents to sellers for electronic signature when required.
- Review completed documents to ensure all required signatures and initials have been obtained.
- Confirm that listing agreements have been signed by the broker
- Send sellers a welcome email with copies of their completed listing documents.
- Send the Seller’s Real Property Disclosure Form to sellers for completion, initials, and signatures.
- Contact homeowners’ associations to verify current monthly HOA fees.
- Request preliminary title reports from the appropriate title company.
- Issue and assign lockboxes through SentriKey and track lockbox activity in Asana.
- Order the installation and removal of for-sale signs and maintain confirmation records.
MLS and Marketing Coordination
- Enter listings into the MLS and ensure all information is complete, accurate, and compliant with legal, ethical, brokerage, and MLS standards.
- Research previous listings, tax records, property history, and comparable properties to verify listing information.
- Create organized property folders in Google Drive and upload listing photographs.
- Arrange MLS photographs in a cohesive order that represents the property effectively, with the strongest images appearing first.
- Prepare and send an MLS review sheet to the listing agent at least one business day before the listing is scheduled to go live.
- Make all requested corrections before activating the listing.
- Set up each listing in ShowingTime and enter the appropriate showing instructions and contact information.
- Process price reductions, listing withdrawals, and other MLS status changes after obtaining the required signed documentation.
Offer and Transaction Management
- Create listing and transaction files in SkySlope, whether generated through Sisu or entered manually.
- Upload all required documents into the appropriate SkySlope checklist sections.
- Save signed paperwork, MLS history, correspondence, and supporting documents in the appropriate Google Drive folders.
- Maintain clean and organized files for upcoming listings, active listings, and active escrows.
- Move property folders to the appropriate location as the listing progresses.
Communication and Daily Workflow
- Monitor and respond to emails from agents, sellers, title and escrow companies, vendors, and other transaction partners promptly and professionally.
- Recognize and prioritize time-sensitive communications throughout the day.
- Keep agents and clients informed of listing progress, outstanding items, deadlines, and required actions.
- Coordinate with staff members, agents, and vendors to ensure listings move forward efficiently.
- Manage multiple listings, transactions, calendars, and projects while consistently meeting deadlines.
- Identify opportunities to improve systems, organization, communication, and the overall client experience.
Qualifications
Required:
- Active Nevada real estate license with access to LVR (Las Vegas Realtors)
- Listing coordination or transaction-management experience
- Strong understanding of Nevada real estate practices and documentation
- Experience managing a high volume of listings or transactions
- Experience using the MLS
- Strong written and verbal communication skills
- Excellent grammar, proofreading, and attention to detail
- Exceptional organization and time-management skills
- Ability to manage multiple priorities and meet firm deadlines
- Ability to work effectively in a fast-paced environment
- Proficiency with Google Workspace, including Drive, Docs, Sheets, Gmail, and Calendar
- Ability to quickly learn and confidently use new software
- Professional, dependable, and team-oriented work style

- Genuine passion for the real estate industry
- Understand AI platforms such as Claude & ChatGPT
Preferred:
- At least two years of experience as a Listing Manager, transaction coordinator, licensed real estate assistant, or in a similar role
- Experience with TransactionDesk, Matrix MLS, SkySlope, ShowingTime, SentriKey, Sisu, and Asana
- Experience developing and implementing systems and procedures
- Knowledge of current real estate marketing practices
