Home Health Aide Coordinator / Scheduler - HHAeXchange Required

Location: Southampton, PA (Office-Based)
Service Area: Bucks, Montgomery, and Philadelphia Counties

Huntingdon Valley Home Care (HVHC) is hiring an experienced Home Care Scheduler / Staffing Coordinator with hands-on HHAeXchange experience. The ideal candidate will have direct experience scheduling caregivers in a home care or home health setting and will play a vital role in keeping client care uninterrupted and aligned with authorized hours.

This is a fast-paced, high-impact position responsible for coordinating daily and monthly caregiver schedules, responding quickly to call-outs and coverage needs, monitoring scheduling and EVV issues, and serving as a central link between caregivers, clients, and office leadership.

Day-to-Day Duties

· Create, adjust, and maintain daily and monthly caregiver schedules.

· Ensure all clients receive authorized hours without interruption.

· Handle caregiver call-outs and secure replacement coverage promptly.

· Communicate schedule changes clearly and efficiently to caregivers and clients.

· Monitor coverage needs and EVV compliance in real time, addressing issues immediately.

· Work within HHAeXchange to manage schedules, visits, EVV issues, open shifts, and other scheduling-related activity.

· Maintain compliance with agency, state, and insurance requirements.

· Collaborate with office leadership to meet client and staffing needs.

Qualifications

· Prior home care scheduling experience is required.

· Hands-on HHAeXchange experience is required.

· Experience handling caregiver call-outs, open shifts, schedule changes, and replacement coverage.

· Familiarity with EVV and caregiver clock-in/clock-out issues.

· Strong organizational and multitasking skills.

· Excellent communication skills — both phone and email/text.

· Ability to work in a fast-paced, deadline-driven environment.

· Strong computer skills and ability to work comfortably within scheduling and office software.

· Professional, dependable, and solutions-focused attitude.

Applicants without prior home care scheduling experience and direct HHAeXchange experience will not be considered.

Compensation & Benefits

· Competitive hourly rate based on experience.

· Monday–Thursday, 8:30 AM to 5:00 PM; Friday, 8:30 AM to 2:00 PM.
