Event Specialist

What You'll Do
Event Planning & Coordination
- Plan and coordinate company events, employee appreciation activities, holiday celebrations, team gatherings, and community events.
- Manage event logistics, including venues, catering, decorations, supplies, schedules, and vendor arrangements.
- Coordinate event setup, activities, and cleanup to ensure everything runs smoothly.
- Track event budgets, expenses, invoices, and deadlines.
- Maintain event calendars, checklists, and planning documents.
Employee Engagement & Communication
- Collaborate with department leaders to identify event needs and company priorities.
- Prepare and distribute event invitations, announcements, schedules, and updates.
- Help create engaging activities that promote teamwork, employee appreciation, and a positive workplace.
- Gather feedback after events and recommend improvements for future activities.
Vendor & Administrative Support
- Research venues, vendors, catering options, and event services.
- Request quotes, compare options, and coordinate vendor details.
- Maintain organized records, receipts, contracts, and event documentation.
- Assist with company communications, special projects, and other administrative responsibilities as needed.
What We're Looking For
- Previous experience in event planning, event coordination, hospitality, marketing, or a related field is preferred.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Creative thinking and attention to detail.
- Ability to manage multiple projects and meet deadlines.
- Comfortable working with vendors, employees, and leadership.
- Proficiency in spreadsheet applications and other planning tools.
- Flexibility to support occasional events outside regular business hours when needed.
- A positive attitude, strong work ethic, and team-focused mindset.
