ACTIVE PROGRAM COORDINATOR (APC) – JOB DESCRIPTION
Billerica HS area will host a group of high school age students from Spain. Their stay is 3 weeks, Sept 27-Oct 14, 2025. Day starts and ends in Billerica MA.
This job requires availability every weekday to accompany them on daytrips/excursions and days at school. The itinerary and all reservations will be made and paid. There are 4 dates needed: Oct 1, 2, 7, 9
This is a supervision and tour chaperone role; we are seeking someone with exchange and/or travel experience; someone familiar and comfortable in and around both Boston & NYC and locally; must be punctual, professional and patient; 2nd language fluency (Spanish) is not required but could be helpful.
The right candidate must be flexible and must be willing to adapt well to changes in itinerary and other program related modifications that may arise. Must be a good communicator and Problem Solver.
The Student Exchange Group Leader will be the main point of contact for a specific group while they are here; you will be the first person they see every day Monday-Friday at the school sight as well as the last person at the school site until all students are met by their host families. The Student Exchange Group Leader will interface with host families, students and teachers as a point of contact during active program. You will have full support of the Hummingbird Student Tours team.
You will be responsible for ensuring group arrives to each location and back to host community on-time; interfacing with traveling chaperone; troubleshooting issues if they arise during program; adapting to changes; confirming drop/pick points with bus driver, keeping Hummingbird informed.
You will be with the group all day on travel/tour days; you will be available at the host schools on school days to ensure students are settled with their host sibling and non-incident days.
A phone interview by Regional Director and/or Company Owner will be required.

The pay for each day trip is $225. Days are Oct 1, 2, 7, 9
YOUR ROLE OVERVIEW
- You will be the go-to person for this program, accompanying and leading the day trips and school days.
- Your day will start and end at the first pick up school/last drop off school.
- You will be at school every day noted as a school day to check in with the group, the visiting teachers, contact teacher, school office and student group in general. The local teacher may have a time preference; if not, you may set a time that you will be at the school to check-in.
- You will be with the group on all trip days. You will be in charge of getting to and from each day on time; you will check in each group; you will handle budget money as outlined and provided in Student Exchange Group Chaperone e-Packet.
- You will organize and supervise the group Potluck (this will include shopping, setting up and cleaning up) – if part of itinerary
- You will accompany group on their last day trip and see the group off at the airport on departure day. This may include going to the airport.
- You will attend the virtual host family meeting to be introduced to the host families and to the host school’s teacher.
- If a student needs to be moved to a different host family, you will help as needed with the transfer.
- You will organize all budget receipts and send back to Hummingbird Student Tours within 2 days of group departure. You will be responsible to submit your invoice for payment.
- This role is literally the Active Program Coordinator – you will take the pre-arranged itinerary and coordinate its unfolding over the dates of the program.
