Position Description
Position Title: Finance Assistant- Grants and Accounting
Report To: Chief Financial Officer
Description: The Finance Assistant supports the Finance Department with the day-to-day financial operations of the organization, with a primary focus on tracking, monitoring, and billing federal and other grant-funded activities. This position ensures accurate documentation, assists with financial reporting and audits, and processes deposits in accordance with agency policies and grant requirements.
Qualifications: Education: Associate’s degree with a preferred major in Accounting, Finance or related field and a minimum of 2 years’ experience in accounting or finance; nonprofit or grant-funded organization experience preferred.
Experience: Individual must have experience with Quick Books Online and Microsoft Excel. Must have the ability to manage multiple deadlines and priorities, possess strong attention to detail with precise accuracy, familiarity with federal grant compliance (ex. 2CFR Part 200) as plus. Excellent organizational, analytical and communication skills. demonstrated ability to handle sensitive participant and donor information with discretion and confidentiality, be capable of preserving confidential employee and participant records. Commitment to integrity and professional ethics in financial management.

Responsibilities:
1. Commitment to Ethical and Effective Services:
- Know and implement HHSI’s mission, policies, and procedures, adhere to HHSI’s agency values in all aspects of work; and abide by all city, state, and federal laws, and regulations.
- Maintain training in boundaries, pathogens, fire safety, cultural competency, workplace safety, active shooter, CPR/First Aid, Verbal Judo, Trauma-informed Care, domestic violence training, mandatory child and dependent adult abuse, and Housing First practices.
- Prepare and examine financial records, ensure accuracy and compliance with all laws (GAAP, tax), manage budgets, audit, reconcile accounts (AP/AR, bank statements).
2. Grants Management and Billing:
- Track expenditures and revenue related to federal, state, and private grants.
- Prepare and submit monthly/quarterly grant billings and reimbursement requests.
- Monitor grant budgets and report variances to the Chief Financial Officer.
- Maintain organized documentation to support all grant transactions for compliance and audit purposes.
- Coordinate with program staff to ensure grant-related expenses are allowable and properly coded.
3. Accounting, Financial Operations, Audit and Compliance Support:
- Process deposits and record transactions accurately in QuickBooks Online and Boomerang.
- Reconcile accounts, ensuring proper allocation of income and expenses.
- Assist with journal entries and financial reporting as needed.
- Support monthly and year-end closing activities.
- Assist with preparation for annual financial and grant audits.
- Compile supporting documentation and respond to auditor inquiries.
- Help ensure adherence to federal grant regulations and agency financial policies.
- Maintain financial records and filing systems (digital and paper).
- Prepare financial summaries and reports using Excel and QBO data.
4. Administrative and Other Duties:
- Support Finance Department projects and perform other duties as assigned.
- Maintain strict confidentiality of participant, employee, and donor financial information in accordance with agency policies and applicable regulations.
- Attends required Agency meetings.
- Performs other duties as needed/assigned.
Schedule: Full-Time in office position. Must be able to work 36 hours per week, within the regular office hours of 8am-4pm, Monday through Friday. Flexibility as needed to meet Agency needs.
Salary: Based on qualifications, hourly non-exempt. Benefits eligible.

Pay: $18.50 - $21.00 per hour
