We are seeking a professional and organized Administrative Assistant to support our daily operations and help ensure exceptional service for our clients and transportation team.
Position Summary
The Administrative Assistant will play a vital role in supporting office operations, coordinating transportation schedules, communicating with clients and drivers, and maintaining accurate records. The ideal candidate is detail-oriented, customer-focused, and capable of managing multiple priorities in a fast-paced environment.
Essential Duties and Responsibilities
- Answer incoming phone calls and provide exceptional customer service.
- Schedule, coordinate, and confirm transportation appointments.
- Communicate trip details, schedule changes, and updates with drivers.
- Maintain accurate client, trip, and transportation records.
- Perform data entry, filing, scanning, and document management.
- Monitor and respond to emails and customer inquiries promptly.
- Assist with onboarding paperwork and maintaining employee files.
- Prepare reports, spreadsheets, and other administrative documents.
- Support billing, invoicing, and payment tracking as needed.
- Ensure compliance with company policies and transportation regulations.
- Assist management with various administrative and operational task
Qualifications
- High school diploma or GED required.
- Associate degree or administrative certification preferred.
- Minimum of 1 year of administrative, office, customer service, or transportation-related experience.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication abilities.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and as part of a team.
- Strong attention to detail and problem-solving skills.
- Professional demeanor and commitment to customer service.
Preferred Qualifications
- Experience in transportation, logistics, dispatching, or healthcare services.
- Familiarity with scheduling software and GPS-based transportation systems.
- Bilingual English/Spanish is a plus.
- Experience handling confidential information.
