Job Description

JOB TITLE: Payroll Assistant

DEPARTMENT: Administration

REPORTS TO: Compliance and Risk Director

HOURS PER WEEK: 40

STATUS: Non-exempt

Position Summary

The ideal candidate must have a strong understanding of payroll processes and regulations, excellent communication skills and the ability to work in a fast-paced environment. We are looking for an individual who is motivated, enthusiastic and committed to delivering superior customer service. The successful candidate will be responsible for ensuring accurate and timely payroll processing and supporting payroll operations in compliance with federal and state guidelines.

Reporting to the Compliance and Risk Director, the Payroll Assistant will provide exceptional customer service to all staff. This position requires a combination of excellent customer service and technical skills.

Duties And Responsibilities

The major responsibilities of this position include, but are not limited to:

  • Assist with payroll processing using ADP Essential Time software.
  • Assist with reviewing timecards for accuracy and completeness and ensuring the timely timecard submission of employees.
  • Resolving any timecard exceptions and missed punches before processing by working with supervisors responsible for timecard approvals.
  • Provide a variety of routine office and clerical support as required including the preparation of documents, spreadsheets, presentations, or other communication.
  • Maintain accurate records of employee hours, wages, and deductions.
  • Organize and distribute employee paychecks.
  • Conduct general department filing, including personnel records, timecards, and payroll reports.
  • Respond to employee inquiries regarding payroll matters in a courteous and timely manner.
  • Must be able to work standard business hours, with flexibility to support payroll deadlines, which may include occasional weekend or early morning hours.
  • Other projects, duties as assigned.


Knowledge, Skills And Abilities

  • Exceptional and clear verbal and written communication skills.
  • Able to maintain high level of confidentiality.
  • Organized with a high level of accuracy and attention to detail.
  • Strong knowledge or payroll state and federal laws.
  • Excellent organizational skills.
  • Experience and knowledge utilizing Microsoft Office – Excel, Word, etc.


Preferred Qualifications And Experience

  • BA/Bachelor’s degree (preferred)
  • Minimum of 2–4 years of experience in payroll processing or accounting support roles, preferably in a multi-site environment.
  • Prior experience with ADP (Workforce Now – Essential Time) strongly preferred.
  • Experience with timekeeping systems and reconciling timecard discrepancies is a plus.
  • Bilingual (English and Spanish)


Licensing/Certification Preferred

  • Payroll Certified
  • PHIRA Certification
  • California Law Certified


Other Requirements

  • Occasional driving is required. Must provide your own vehicle, valid California Driver’s License and proof of full insurance coverage.
  • Negative tuberculosis screening
  • We require the selected candidate to undergo a criminal background check using the Live Scan fingerprinting method in compliance with applicable laws and regulations


Work Environment/Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job or that an employee encounters while performing the essential function of this job.

  • Work in moderate noise levels and non-smoking environment
  • Ability to occasionally lift and/or move up to 25 pounds independently
  • Frequently involves sitting, standing, walking, squatting, bending, and climbing stairs (as needed)
  • Occasionally may be required to stoop, kneel, crouch, or crawl
  • Must be able to speak and hear clearly to communicate effectively
  • Constantly operates a computer, keyboard, and other various office machinery
  • Majority of job duties are performed onsite; however, visits to different sites may be required

In accordance with California law, the expected pay range for this position is posted with this position. The actual compensation will be determined based on experience and other factors permitted by law.
