POSITION OVERVIEW

Join our dynamic veterinary team as a Customer Service Technician (CST), serving as our nonprofit’s first point of contact, where your passion for animal care and exceptional customer service will make a meaningful difference in the lives of pets and their people. In this energetic role, you will create a welcoming environment for our clients, patients, donors, volunteers, and visitors ensuring smooth “front of house” operations and promoting pet health and client satisfaction. Uniquely, the CST will also be/become competent in animal handling and basic veterinary technician skills. The ideal candidate is aligned with our mission, compassionate, organized, dependable, a team player, and able to multitask in a fast-paced environment.   • Must be available at minimum Mondays and Tuesdays from 7:30 am to 5:30 pm.
  • The CST reports to the Clinic Operations Manager.

KEY RESPONSIBILITIES

Administrative

  • Greet clients and visitors with a genuine warmness, professionalism, and compassion.
  • Design and implement ways to delight clients and seek client feedback.
  • Utilize Daysmart Vet clinic management software.
  • Schedule, confirm, and manage Surgery and Well Pet appointments.
  • Check clients in and out of appointments.
  • Process payments, issue receipts, and and balance daily transactions.
  • Maintain accurate client and patient records in compliance with the TBVME.
  • Manage and dispense medications in compliance with the DEA and FDA.
  • Respond to emails, social media messages, and appointment inquiries.
  • Assist with registration forms and required documentation.
  • Coordinate communication between clients and veterinary staff.
  • Maintain a clean, organized, and welcoming reception area at all times.
  • Restock supplies and client paperwork.
  • Assist with administrative tasks, filing, scanning, and data entry.
  • Educate clients on available programs, pricing, and resources.
  • Communicate effectively with pet parents about pet care instructions, treatment plans, and follow-up appointments to foster trust and client satisfaction
  • Continuously seek out ways to optimize operational efficiency.
  • Be an exceptional team member, supporting colleagues and veterinarians.
  • Support fundraising events and community outreach when needed.
  • Follow all confidentiality and safety procedures.
  • All other duties as assigned by Supervisor.

Technical

  • Assist staff with safe and fear-free animal restraint.
  • Become proficient in basic veterinary technician skills including, but not limited to, trimming nails, vaccinating, microchipping, and identifying patient abnormalities.
  • Understand common diseases affecting dogs and cats, including prevention and treatment.
  • Understand and clearly communicate veterinary terminology to clients.
  • Continuous education in preventative veterinary medicine, animal shelter diversion, and pet safety net programming.

QUALIFICATIONS

Required

  • High school diploma or GED.
  • Excellent customer service and communication skills.
  • Strong computer proficiency (Microsoft Office, Google Workspace, Canva, etc.).
  • Ability to multitask in a fast-paced environment.
  • Strong organizational skills and attention to detail.
  • Reliable transportation and punctual attendance.
  • Ability to work with diverse populations respectfully.

Preferred

  • Previous receptionist or customer service experience.
  • Experience in a veterinary clinic, animal shelter, or nonprofit organization.
  • Bilingual (English/Spanish) strongly preferred.
  • Experience with veterinary software and understanding of veterinary terminology.

PHYSICAL ENVIRONMENT

  • Sitting or standing for extended periods.
  • Walking, bending, kneeling, twisting, reaching, crouching, lifting, carrying.
  • Animals with unknown histories that may be frightened or aggressive.
  • Lifting and moving up to 50 pounds repeatedly throughout the day with help.
  • Exposure to various environmental noises, smells, temperatures, veterinary clinic chemicals, and animals undergoing surgery.

MISSION STATEMENT

The Human-Animal Support Coalition works to keep pets in the homes that love them and out of animal shelters by providing free and low-cost surrender prevention programming and preventative veterinary services.
