Job description:
We are seeking an Administrative & Executive Support Assistant who will be responsible for keeping our office running smoothly, manage our front desk, and assist with a variety of administrative and clerical tasks. As a real estate development company, this position will also assist with various property management tasks, provide daily support to our Paralegal/Executive Assistant and assist the Executive Team as needed. This role is ideal for someone who is proactive, dependable, and comfortable balancing multiple tasks in a fast-paced environment. We are seeking a team player with an approachable and pleasant personality, as this is also a heavily client-facing role.
Office & Front Desk Management
- Serve as the primary point person for office maintenance, mailing, shipping, supplies, and errands
- Manage the front desk: greet visitors, provide general support, and route them appropriately
- Answer, screen, and forward incoming calls
- Provide clear and accurate information in-person and via phone/email
- Maintain a clean, welcoming, and professional office environment
- Manage and maintain office supply inventory
Administrative Support
- Ensure filing systems are organized, up to date, and easily accessible
- Handle customer inquiries and help resolve basic complaints
- Assist other office staff as needed
- Support special projects, deadlines, and company events as assigned
Executive & Paralegal Support
- Provide daily administrative support to the Paralegal/Executive Assistant
- Prepare materials, gather information, and assist with executive-level priorities
- Act as an extension of the executive office support by jumping in as needed to keep tasks on track
- Provide support for personal assistance for CEO – for example, assisting with travel arrangements, handling international shipments, updating technology, etc.
Property Management & Operations Support
- Assist with tenant work orders: log maintenance requests, close work orders, direct maintenance calls, and create building access cards
- Support the accounting team in managing downtown parking lots, including monitoring and enforcement
- Manage relationships with vendors and service providers; ensure invoices are accurate and paid on time
Routine Tasks
- Daily: Go to the post office; open and sort mail
- Weekly: Attend maintenance meetings, take notes, and close completed work orders
- Weekly: Coordinate with maintenance staff to create the weekly on-call schedule
Qualifications:
· Proven office or administrative assistant experience
· Friendly and welcoming demeanor
· Excellent time management skills and ability to multitask and prioritize work
· Attention to detail and problem solving skills
· Excellent written and verbal communication skills
· Strong organizational and planning skills
· Proficient in Microsoft Office
· Willingness to help with unexpected and/or last-minute tasks with a can-do attitude
