This role owns how work flows across the company and is responsible for building, implementing, and evolving the systems that support all departments.
You will help bring clarity to how projects and internal initiatives move from early-stage conversations through execution, delivery, and ongoing use. This includes not only creative production work, but also workflows across sales, marketing, and internal operations.
Your focus will be on improving coordination, defining workflows, and building systems that make it easier for teams to stay aligned and move efficiently.
This role allows leadership and department leads to stay focused on creative, strategy, and execution, while you help ensure the underlying structure supports that work. You will be responsible for ensuring that workflows do not rely on individuals, but instead operate through clear, scalable systems.
What You Will Do
Workflow & System Design
- Define and implement how work flows across the company for entire lifecycles from intake through completion.
- Identify inefficiencies and design improved workflows that create consistency and clarity
- Establish clear stages, ownership, and handoffs across all primary workflows
Cross-Team Alignment & Coordination
- Ensure information flows clearly between teams at each stage of a project or initiative
- Define and enforce ownership and expectations across workflows to enable teams to operate with clarity.
- Take ownership of how work moves across departments and resolve breakdowns in workflows when they occur
Systems, Tools & Optimization
- Translate internal workflows into structured systems, including SOPs, templates, and documentation
- Build and maintain systems (CRM, trackers, dashboards) that provide visibility and coordination across projects
- Continuously improve systems to reduce friction and increase efficiency
- Build and manage systems that support hiring, including job postings, candidate tracking, and onboarding workflows
- Ensure new team members are onboarded through structured systems that allow them to operate quickly without relying heavily on leadership
AI & Automation Integration
- Proactively implement opportunities to integrate AI into workflows across sales, operations, and production
- Use AI and automation to reduce manual work and improve efficiency across the company
- Continuously evaluate and adopt tools that enhance how the company operates
- Ensure systems and tools are clearly implemented and adopted by the team, including guiding others on how to use them effectively in their day-to-day work
- You are not expected to build AI systems from scratch, but you are expected to understand, apply, and improve them within real workflows

What You Bring
- 4 to 6 years of experience in operations, systems, or process-building roles.
- Experience working in cross-functional environments with multiple stakeholders.
- Strong organizational and systems thinking skills.
- Experience working in fast-paced environments where systems needed to be built and refined over time
- Proficiency in Google Workspace and common project management tools.
- Demonstrated experience building systems or workflows from scratch in a fast-moving environment
- Experience working with or quickly learning tools such as CRM systems (HubSpot or similar), project management platforms, and automation tools
Work Structure
This is a full-time, in-person role based in Los Angeles.
You will work closely with leadership and collaborate across teams to support active projects and internal operations. The role requires someone comfortable working in a fast-paced environment with shifting priorities as projects evolve.
Compensation & Benefits
Salary range: $85,000 to $105,000, depending on experience and demonstrated skill set.
Health, dental, and vision insurance are available following a 90-day probationary period.
