About the Job:
Huffman Aviation, a traditional, “stick and rudder skills” oriented Part 61/141 Flight School is looking for the right person to join our team as an Office Assistant.
We are a small, family oriented, tight knit team. We succeed or fail together and rely on each other to make Huffman a fun and productive place to work.
Position Overview
This position is at the center of our business. You will interface with all of our departments, our customers, senior management and the public.
You will greet customers in person and on the phone and direct them to the appropriate team member, so a positive and professional demeanor is essential.
You will be involved with scheduling of aircraft and student lessons including accommodating last minute changes due to operational requirements and personnel availability.
You will also have broad clerical duties, including customer invoicing, purchasing, inventory administration, marketing, facility cleaning, etc.
You must be a supportive team player who thrives in a fast paced environment and excels at administrative tasks.
You must be a proactive communicator who emphasizes passing on information to your teammates.
Job Requirements:
Qualifications, Skills and Abilities
- Prior experience in administrative, operations, or office support roles
- Proficiency in Quickbooks, Google Workspace (Docs, Sheets, Gmail)
- Strong organizational skills and the ability to manage multiple tasks and projects
- Ability to handle confidential information with complete discretion
- Ability to take direction, yet able to work independently and stay proactive
- Proficiency with the English Language (written and spoken)
- Strong work ethic with reliability and dependability
- Friendly, welcoming disposition
- Interest in aviation a big plus!
- Must have reliable transportation
- Plays well with others
Responsibilities
- Provide general administrative and clerical support to the office and senior management team
- Greet customers as they come in and help dispatch aircraft to the appropriate person
- Monitor and record daily transactions in Quickbooks
- Assist with billing and accounts receivable, including generating and sending client statements, monitoring outstanding balances and following up on unpaid invoices
- Keep a clean and orderly work environment
- Perform any other duties as assigned
This is a full-time position with 40 hours of work per week. While the regular working cycle of this position is usually 5 days (Monday-Friday), this job may include some working weekends and holidays as needed.
Salary : $16 - $18
