Hubsups is the intelligent B2B marketplace built for the hospitality industry. We simplify FF&E, OS&E, and MRO sourcing for hotels, restaurants, senior living communities, and commercial spaces. Our platform connects verified vendors with qualified buyers—fast, transparently, and intelligently.
As we scale our marketplace, premium services, and vendor ecosystem, we are building a finance function that is operationally rigorous, audit-ready, and designed to support growth.
The Head of Finance (Corporate Controller) owns the day-to-day financial operations of Hubsups and ensures accurate, timely, and compliant accounting across the business. This role will lead core accounting functions—AR, AP, chart of accounts, general ledger, payroll, monthly close, reporting, and controls—while managing Finance team members.
This is a hands-on role for a controller-minded finance leader who can implement scalable processes, maintain financial discipline, and partner with leadership to support budgeting, cash management, and operational decision-making. Deep expertise in QuickBooks (required) is essential; experience with Intuit Enterprise Suite is strongly preferred.
- Own the monthly close process, including reconciliations, accruals, journal entries, and financial statement preparation (P&L, balance sheet, cash flow).
- Maintain an accurate general ledger and ensure transactions are properly coded and supported.
- Build and maintain a scalable Chart of Accounts aligned to marketplace revenue streams and operating expense structure.
- Establish and document accounting policies, procedures, and internal controls appropriate for a growing company.
- Manage AR processes including invoicing, collections, dispute resolution, and reconciliation of customer payments.
- Ensure consistent application of revenue recognition practices appropriate to the business model (marketplace commissions, services, and fees).
- Monitor AR aging, reduce DSO, and maintain strong cash conversion discipline.
- Manage AP workflows including vendor bill processing, approval routing, payment runs, and vendor setup.
- Ensure clean and timely coding to the Chart of Accounts, including proper allocation for departments and projects.
- Maintain strong controls to prevent duplicate payments, incorrect coding, and missed obligations.
- Run or oversee payroll processing and reporting within QuickBooks (or integrated payroll solutions), ensuring accuracy, compliance, and timeliness.
- Manage employee expense workflows (reimbursements, card programs if applicable), including policy enforcement and documentation.
- Serve as system owner for QuickBooks (Online or Desktop as applicable), ensuring correct configuration and ongoing maintenance of:
- AR/AP workflows
- Chart of Accounts
- GL structure and reporting
- Payroll and contractor payments
- User permissions and segregation of duties
- Preferred: experience implementing or operating within Intuit Enterprise Suite, including multi-entity, approvals, automation, or advanced reporting.
- Produce timely and accurate monthly reporting packages for leadership, including budget vs. actuals, trend analyses, and variance explanations.
- Support annual budgeting and periodic reforecasting by maintaining clean historical financials and clear cost categorization.
- Own day-to-day cash management, including payment timing, working capital monitoring, and vendor payment planning.
- Manage and develop additional Finance team members, including task assignment, workflow design, review/approval processes, and training.
- Create clear operational cadence and accountability across daily, weekly, and monthly finance routines.
- Ensure compliance with applicable tax filings and reporting requirements (sales tax where applicable, 1099s, etc.) in coordination with external accountants/tax advisors.
- Maintain audit-ready documentation, including transaction support, reconciliations, and policies.
- Support financial due diligence requests from partners, lenders, or investors if required.
- 7 years in accounting/finance with demonstrated ownership of full-cycle accounting (controller-level responsibilities).
- Proven experience managing AR, AP, Chart of Accounts, General Ledger, and payroll within QuickBooks (required).
- Strong understanding of monthly close, reconciliations, accrual accounting, and financial statement preparation.
- Experience managing direct reports (Bookkeeper or similar).
- Excellent attention to detail, strong organizational discipline, and ability to build repeatable processes.
- Proficiency in Excel/Google Sheets (financial models, reconciliations, reporting packs).
- Experience with Intuit Enterprise Suite (strongly preferred).
- Experience in eCommerce, marketplaces, B2B SaaS, or multi-revenue-stream environments (commissions, service fees, subscriptions).
- Prior experience supporting external audits, investor reporting, or PE-backed reporting requirements.
- Familiarity with payments platforms and payouts (e.g., Stripe) and reconciling high-volume transactions.
- You are hands-on and comfortable executing while also designing scalable processes.
- You operate with high integrity and strong internal control instincts.
- You can communicate financial performance clearly to non-finance stakeholders.
- You’re proactive: you identify issues early and implement practical fixes quickly.
- You balance speed with accuracy and understand where precision matters most.
- Clean, timely monthly closes with high confidence in the numbers.
- Well-structured Chart of Accounts that supports reporting, budgeting, and decision-making.
- Strong cash management discipline and predictable AP/AR operations.
