Position Summary
The Program Administrator supports the daily operations, coordination, and documentation of HSS, Inc.’s nonprofit programs. This role ensures smooth program delivery, accurate record‑keeping, participant support, and compliance with organizational policies. The ideal candidate is organized, dependable, and comfortable working in a mission‑driven environment that serves individuals in transition.
Key Responsibilities
- Oversee day‑to‑day administrative functions for all HSS, Inc. programs
- Maintain program calendars, schedules, and communication with participants
- Assist with intake, orientation, and documentation for new program participants
- Track attendance, participation, and progress using internal systems
- Support coordination of workshops, events, and community partnerships
Documentation & Compliance
- Maintain accurate participant files, reports, and program records
- Ensure compliance with nonprofit, grant, and internal reporting requirements
- Prepare monthly, quarterly, and annual program summaries as needed
- Assist with data collection for audits, grants, and board reporting
Communication & Support
- Serve as a primary point of contact for participants, partners, and volunteers
- Respond to inquiries and provide program information in a professional manner
- Support the Executive Director with administrative tasks and follow‑up
- Coordinate communication between staff, contractors, and community partners
Operational Support
- Assist with scheduling, meeting preparation, and internal coordination
- Maintain inventory of program supplies and materials
- Support onboarding of volunteers and consultants
- Help ensure program spaces are organized, safe, and welcoming
Qualifications Required
- High school diploma or equivalent
- 2 years of administrative, program support, or nonprofit experience
- Strong organizational and time‑management skills
- Excellent written and verbal communication
- Proficiency with email, spreadsheets, and basic office software
- Ability to maintain confidentiality and handle sensitive information
- Professional, dependable, and able to work independently
Preferred
- Experience working in a nonprofit, social services, housing, or community‑based program
- Knowledge of case management systems or participant tracking tools
- Experience supporting vulnerable or transitioning populations
- Bilingual (English/Spanish) is a plus
- Valid driver’s license and reliable transportation
Pay: From $54,000.00 per year
