Responsibilities
- Greet patients warmly upon arrival, verify appointments, and assist with check-in procedures using Electronic Health Record (EHR) system for a multidisciplinary office.
- Manage patient scheduling efficiently through medical office management software, ensuring optimal appointment flow and minimal wait times.
- Verify insurance coverage, perform insurance eligibility checks, and handle insurance verification processes accurately.
- Collect outstanding balances and process payments using medical billing systems while maintaining compliance with HIPAA and other confidentiality policies.
- Maintain organized medical records and electronic health records (EHR), ensuring compliance with health information management standards.
- Answer multi-line phone systems professionally, providing excellent patient service through clear communication and phone etiquette.
- Assist with intake procedures for new patients, including data entry, documentation review, and explaining clinic policies.
- Support clinical staff by managing appointment reminders, follow-up scheduling, and coordinating care plans as needed.
- Ensure all clerical tasks such as filing, faxing, scanning documents, and managing electronic health records are completed efficiently.
Skills
- Proven experience in medical office administration or front desk roles within clinics or healthcare settings
- Excellent customer service skills with the ability to communicate effectively via phone and in person; bilingual abilities are a plus.
- Ability to handle sensitive patient information with strict adherence to HIPAA regulations and clinical confidentiality policies.
- Strong organizational skills with attention to detail in documentation review and record keeping.
- Capable of managing multiple priorities efficiently in a fast-paced environment while maintaining professionalism.
- Basic computer skills including typing (10-key), filing digital documents, and using multi-line phone systems.
