Job Description
The Property Management Associate supports the property management team in overseeing a portfolio of HRP operational properties. This role ensures the efficient coordination of administrative, financial, and operational tasks — including, lease administration, vendor coordination, contract administration, certificate of insurance compliance, AP/AR coordination, and maintenance scheduling. The position plays a key role in keeping operations organized, compliant, and responsive to tenant and ownership needs.
Compensation is determined by considering a variety of factors such as skills, experience, and qualifications.
Reporting
This position reports to the HRP SVP of Asset Management and collaborates regularly with a large cross-functional project team across the HRP office locations. This position requires full-time on-site office presence.

Duties and Responsibilities
· Maintain and organize comprehensive property management files, including lease agreements, vendor contracts, certificates of insurance (COIs), utility tracker, and related documentation.
· Coordinate contract requests in collaboration with Property Managers and the Legal Department, from initial scope identification through full contract execution. This role requires effective communication and coordination with both internal stakeholders and external counterparties.
· Maintain vendor database; coordinate bid requests, proposals, and service contracts as needed. Track contract terms, scope of work, and renewal dates to ensure ongoing contract compliance and service vendor performance meets contractual requirements.
· Facilitate vendor onboarding within HRP systems (e.g., Yardi, Vendor Café, myCOI) and maintain required documentation, including certificates of insurance, W-9 forms.
· Review, code, and process property management invoices, including those related to utilities, real estate taxes, and various service providers. Reconcile vendor statements and resolve any discrepancies or payment issues in a timely manner.
· Assist with the preparation of annual operating budgets and monthly financial reports.
· Monitor and track tenant, property, and preventative maintenance service requests (Yardi Facility Manager) to ensure prompt resolution across HRP-managed properties; identify and recommend process improvements to address recurring issues.
· Assist with property transition from Development to Asset/Property Management; set up utility accounts as needed, establish new vendor relationships, track transition activity to ensure all documents are in good order.
· Distribute monthly tenant statements in coordination with accounting and property management teams.

Requirements
· 2 years of administrative or operational experience, preferably in property management or real estate.
· Familiarity with lease documents, contractor coordination, and tenant communication.
· Strong interpersonal and communication skills with the ability to collaborate across departments.
· Strong attention to detail and ability to manage multiple priorities with high level of accuracy.
· Proficiency with Microsoft Office Suite and property management software (e.g., Yardi, myCOI).
· Bachelor’s degree is preferred.
