Job description:
The Sampling and Digital Asset Manager, internally known as the Librarian plays a vital cross-departmental role, supporting both operational and creative functions. This position is tasked with organizing, ensuring quality, and presenting physical samples and digital assets, making sure they are accurate, accessible, and align with company standards.
In addition to overseeing the shipment, reception, and maintenance of physical samples, the role also manages the digital asset library. It collaborates closely with Marketing and Creative Services to ensure visuals are correctly tagged, categorized, and ready for internal and client projects.
Although part of the Operations team, this role directly supports creative and marketing efforts, demanding strong teamwork, a keen visual sense, and an understanding of art and design. Success requires excellent organizational and photography skills, refined aesthetic judgment, and experience with digital asset management systems and creative workflows.
Sample Coordination & Physical Asset Management
- Manage all aspects of sample coordination, including shipping and receiving materials between the Las Vegas gallery, internal teams, and clients.
- Perform quality control and verification of samples against spec sheets and project requirements.
- Photograph and label physical samples to create consistent visual documentation.
- Maintain an organized, up-to-date sample library on-site.
- Build and manage a corresponding digital sample archive for internal use.
Digital Asset Management (Creative Services & Marketing Support)
- Oversee digital asset organization within MediaValet under direction from the Marketing department.
- Upload, tag, and categorize digital assets using consistent naming conventions and folder structures.
- Ensure visual content is accurate, accessible, and aligned with brand standards.
- Collaborate with Creative Services and Marketing teams to support content workflows and project needs.
Gallery Operations Support
- Provide support for the Las Vegas gallery during staff absences.
- Answer phone calls, log shipments, greet visitors, and assist clients to ensure a professional and welcoming experience.
Qualifications
- 3 years of experience in sample coordination, creative operations, or digital asset management.
- High school diploma required, Bachelor's degree preferred
- Proficiency in photography and basic image editing tools (e.g., Adobe Photoshop or Lightroom).
- Familiar with digital asset management platforms like MediaValet or similar.
- Excellent attention to detail and a sharp eye for design, style, and visual consistency.
- Background in Art, Art History, Interior Design, or a related field is highly preferred.
- Excellent organizational and communication skills.
- Proven ability to manage multiple tasks, prioritize deadlines, and work with a strong sense of urgency in a fast-paced environment.
- Comfortable working cross-functionally and managing priorities across Operations and Marketing.
