JOB DESCRIPTION
We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide high level administrative support to a senior executive team and contribute to the efficient operation of the organization.
The ideal candidate will possess excellent communication and multitasking skills, a keen eye for detail, and the ability to manage confidential information with discretion. This role requires a dynamic individual who thrives in a fast paced environment and is comfortable interacting with senior leadership, internal and external stakeholders, and team members.
RESPONSIBILITIES
Administrative Support: Provide high level administrative support to the senior executive team, including scheduling meetings, managing calendars, coordinating travel arrangements, and handling correspondence.
Communication Management: Serve as a liaison between executives and internal and external stakeholders, ensuring timely and effective communication. Prepare reports, presentations, correspondence, and other documents as needed.
Meeting Coordination: Organize meetings, prepare agendas and supporting materials, take meeting notes or minutes, track follow up actions, and ensure all necessary materials are prepared in advance.
Project Coordination: Assist with the coordination and tracking of key projects and initiatives, monitor deadlines, and keep the executive team informed of progress and outstanding items.
Document Management: Organize and maintain files, records, and documents while ensuring confidential and sensitive information is handled appropriately.
Event Planning: Assist with the planning and execution of company events, executive meetings, retreats, and other special functions.
Office Support: Assist with administrative and organizational needs to ensure the executive team has the resources and support necessary to operate effectively.
Problem Solving: Address day to day administrative and organizational issues, identify solutions, and make recommendations to improve efficiency and productivity.
QUALIFICATIONS
• Bachelor's degree or equivalent experience preferred
• 5 years of experience as an Executive Assistant or in a similar role
• Proficiency with Microsoft Office, Apple productivity applications, and other business software
• Exceptional organizational skills with the ability to manage multiple priorities and deadlines
• Strong written and verbal communication skills
• Demonstrated ability to handle confidential and sensitive information with discretion
• Strong attention to detail and problem solving skills
• Proactive, resourceful, and adaptable approach to changing priorities
• Previous experience supporting senior leadership in a corporate or fast paced environment preferred
