Position Summary
The Bilingual HR Admin provides high-level administrative and operational support to senior HR leadership and plays an essential role in facilitating communication across English- and Spanish-speaking employees. This position requires exceptional organization, discretion, and adaptability in a fast-paced, evolving workplace.
The ideal candidate is fluent in both English and Spanish, capable of translating HR communications, assisting employees with inquiries in either language, and ensuring inclusivity and clarity across the organization.
Key Responsibilities
- Provide direct administrative support to the CHRO/HR Director, including calendar management, travel coordination, expense reports, and correspondence in English and Spanish.
- Translate internal HR documents, policies, and communications to ensure accessibility for Spanish-speaking employees.
- Serve as a primary bilingual liaison between HR and staff—helping employees understand HR processes, benefits, and compliance requirements.
- Coordinate and schedule meetings, interviews, events, and department-wide initiatives.
- Maintain confidential personnel records and ensure compliance with all legal and company requirements.
- Support recruitment by scheduling interviews, preparing bilingual offer letters, and coordinating onboarding logistics.
- Assist with the preparation of HR reports, presentations, and compliance documentation.
- Track key HR deadlines and compliance items such as training, reviews, and audits.
- Provide project support for HR programs such as engagement surveys, open enrollment, or DEI initiatives.
- Handle general employee inquiries with professionalism, empathy, and discretion.
Qualifications
- Fluent in English and Spanish (verbal and written) — required.
- 2–3 years of administrative experience, preferably in Human Resources or executive support.
- Strong organizational and multitasking skills with excellent attention to detail.
- Proven ability to handle sensitive and confidential information with discretion.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); HRIS or ATS experience preferred.
- Excellent written and verbal communication skills across both languages.
- Service-oriented mindset with the ability to build trust and rapport across all levels.
Education & Experience
- Associate or Bachelor's degree in Business Administration, Human Resources, or related field preferred.
- Prior experience supporting HR functions or leadership teams required.
- Knowledge of HR operations, compliance, and labor law basics is a plus.
Working Conditions
- Full-time, Monday–Friday, 8:00 a.m.–5:00 p.m.
- Occasional extended hours to support projects or executive needs.
- Hybrid or on-site work model based on business requirements.
Compensation
- Starting at $25/hour
