The Executive Assistant will perform various highly complex and confidential professional-level executive administrative support duties for Senior Executive Leadership as directed as well as performs personal assistant duties for the CEO.
FUNCTIONAL RESPONSIBILITES
- Serves as Executive Assistant to CEO and President to include managing CEO and President’s email, travel and calendar.
- Assist in keeping the CEO and President on schedule and ensuring time is allocated to the most critical business and personal commitments. Priority will be given to the CEO.
- Serves as point of contact for Executive Leadership Team
- Completes administrative duties for Senior Executive Leadership and the Family including managing events and their business travel.
- Attends important company events as needed.
- Coordinates agendas and creates minutes for Executive Leadership Team meetings, Board of Directors, and family office meetings.
- Tracks and manages projects or implementations.
- Set up and clean up for Monthly Manager meetings, Executive Team meetings.
- Analyzes tasks and projects requiring internal and external review, approvals, and signatures and ensures completion by deadline.
- Develops and creates complex and confidential reports and presentations.
- Collects, interprets, and analyzes data, troubleshooting, fact-finding and/or investigating areas requested and provides evidence-based recommendations for review and/or action.
- Facilitates communication and liaison activities for the Executive Leadership Team and the Family.
- Composes a variety of internal and external email messages and confidential correspondence and arranges in-person appearances and appointments for the President / CEO and Executive Leadership Team.
- Assists in Board Meeting preparation.
- Creates project plans for Executive Leadership Team objectives and ensures they stay on target, identifies delays and opportunities.
- Plans, coordinates, facilitates, and participates in strategic level Senior Executive Leadership meetings, professional development sessions, and events.
- Represents and supports the Executive Leadership Team at meetings.
- Provides administrative support for Lancaster office.
- Performs other duties in support of executive leadership as required.
REQUIRED KNOWLEDGE, SKILLS & ABILITIES
- Bachelor’s degree in Business Administration or a closely related field of study.
- 5-8 years progressively responsible professional experience as an executive assistant at a high-paced executive office preferred.
- Ability to work a flexible schedule, including occasional early mornings, evenings, or weekends, as needs arise.
- Ability to maintain confidentiality.
- Strong organizational and multitasking abilities.
- Strong sense of urgency, initiative, and ability to meet deadlines.
- Knowledge of internal and external customer service principles and practices.
- Knowledge of project management principles.
- Advanced knowledge of Microsoft Office Suite and willingness and ability to embrace IT technology.
- Excellent written and verbal communication skills.
- Ability to utilize AI effectively in your job.
Job Type: Full-time
Base Pay: From $70,000.00 per year
