Job Overview
We are seeking a proactive and detail-oriented Maintenance Supervisor Assistant to support property management operations. This position plays a crucial role in providing prompt, professional service to our residents and property owner clients. This role involves assisting with the maintenance and repair of residential or commercial properties, ensuring properties operate efficiently and safely. The ideal candidate will possess strong mechanical, electrical, and property maintenance skills, along with leadership qualities to support the supervisory team. Key Responsibilities and Job Duties
- Resident Communication- Provide professional updates on scheduling and completion; escalate sensitive or repeat issues to the Supervisor/Manager.
- Assist in overseeing daily maintenance activities across multiple properties, including HVAC, electrical systems, plumbing, and general repairs
- Utilize Property Management Software for work order tracking, inventory management, and scheduling preventative maintenance
- Work Order Coordination- Receive, log, prioritize, assign, and track maintenance requests; ensure accurate updates/closeout in property management software.
- Scheduling and Dispatch- Utilize in-house maintenance technicians and vendors, secure bids when needed, confirm access with residents, and follow up on delays.
- Unit Turns & Preventive Maintenance- Assist with make-ready walks, turn schedules, and preventive programs (seasonal checks, HVAC filters, safety inspections).
- Light Repairs & Maintenance- Assist in performing routine tasks as assigned (basic plumbing, minor electrical, appliance checks, drywall/paint touch-ups, hardware installs).
- Invoices & Admin Support- Review invoices against work orders/bids, record labor/materials, and support budget tracking/reporting.
- Inventory & Safety- Maintain organized warehouse, tools/key control, restock supplies, follow OSHA/PPE standards, and report hazards.
- Emergency/On-Call Support- Assist with urgent repairs and after-hours response as required document actions clearly.
- Conduct inspections of properties to identify repair needs and coordinate necessary repairs or upgrades
- Assist in supervising maintenance staff and contractors, ensuring safety protocols and quality standards are met
- Support project management tasks related to renovations, upgrades, or new installations within properties
- Maintain detailed records of maintenance activities, repairs, and safety inspections
Qualifications
- Proven experience in property management, property maintenance, with supervising responsibilities
- Strong mechanical knowledge and property maintenance experience
- Familiarity with property management/maintenance software programs
- Leadership skills with previous supervising or team-leading experience in maintenance settings
- Excellent communication skills for effective coordination with team members and vendors
- Demonstrated ability to manage multiple projects simultaneously while maintaining attention to detail
- High school diploma/GED.
- 1–3 years in property maintenance, coordination, facilities, or related trades support.
- Working knowledge of building systems (plumbing, electrical, HVAC, appliances).
- Strong organization, follow-through, and customer service skills.
- Valid driver’s license and reliable transportation.
