What You’ll Be Doing:
The HPCEducationManager™ team manages educational expense requests for employees of hospitals and other healthcare organizations to provide administrative support they are lacking and drive savings on this annual investment into their staff’s training and development expenses.
The EM Book Coordinator will be fully responsible for acknowledgements all book and training product expense requests from all EM clients.
On a daily basis, here’s what an EM Book Coordinator will be doing:

The EM Account Reps are dedicated to managing usually 1-2 EM client relationships (depending of their size), overseeing the day-to-day performance of our program for their organization(s) and being accountable for driving savings to meet or exceed our goal of 10% net savings for each assigned client. The EM Account Rep reports to the Operations Manager or Operations Director over the HPCEducationManager™ division.

What You’ll Be Doing:

The EM Book Coordinator will be fully responsible for acknowledgements all book and training product expense requests from all EM clients.
On a daily basis, here’s what an EM Book Coordinator will be doing:
- Review all new requests for books and training products and acknowledge them via email, to let each requestor know we received their request and we are working on it and to gather any missing details they may have failed to include with their request.
- Requests received via email versus through our online portal must be entered manually into our online portal.
- Do research and negotiate with publishers/vendors to find and secure the lowest price possible on every request from every EM client for books and training products.
- Maintain an overall average of at least 17% (or higher) in total gross savings for all EM clients for all book and training product requests you’re managing. (Our historical department average has ranged 11% - 24% over the past year.)
- Email and phone correspondence with requestors to give them progress updates on their pending book/product requests so they know when each will be completed.
- Learn the approval process for all EM clients and secure pre-approval for each requested book/product transaction from the requestor’s “supervisor” that their expense is eligible to be covered (paid for) by their department.
- Upload copies of every pre-approval and denial into our online portal for all book/product requests.
- Learn the payment process for each EM client and process payment to the vendor for every pre-approved book/product expense.
- Upload payment confirmation details and a copy of the payment receipt into our online portal for all paid transactions.
- Maintain an overall average turnaround/processing time of 1-2 weeks (or less) for all book and training product requests you’re managing – this measures turnaround time from the request date through the payment date.
- Work with and collaborate with the EM Account Reps and EM Administrative Assistants as needed to ensure all goals and timelines for their assigned client(s) are being met and that internally we are working seamlessly as a team to support all our clients.
- Assist with training, as needed, of new EM Book Coordinators as part of our peer mentoring and new hire training program.
- Extremely strong attention to detail and organizational skills
- Good at online research
- Previous price negotiation experience, preferred
- Strong mathematical and analytical skills and good with numbers
- Reliable and able to work well in a collaborative team environment
- Self-motivated, enthusiastic, and positive attitude
- Excellent verbal and written communication skills
- Comfortable in communicating with and dealing directly with customers and vendors
- Position requires flexibility, careful attention to details, and the ability to multi-task
- Position requires proactive and thorough follow-up skills
- Ability to effectively prioritize and execute tasks in a fast-paced environment
- Maintains high standards of conduct and integrity and demonstrates good judgment
- High School Diploma or equivalent.
- Some college level education preferred.
- 2 years customer service and/or accounting experience in business-to-business setting
- Experience with Microsoft Office applications: Excel, Word, and PowerPoint
