JOB PURPOSE:

The Annual Giving Program & Operations Coordinator is a key team member within the Office of Annual Giving. The incumbent will manage responsibilities that are integral to the success of the office and the growth of the annual giving program. The Coordinator will support the planning, coordination, and execution of multi-channel fundraising campaigns, including direct mail, email, digital, and engagement-based initiatives. The incumbent will provide reliable and professional support to the Annual Giving team, assisting with project coordination, data management, reporting, and campaign operations. This role will work closely with the Director of Annual Giving and Assistant Directors to support reunion and constituent-based fundraising efforts, campaign execution, and donor engagement activities. The Coordinator will apply skills and knowledge to support a broad range of projects and operational tasks, while developing an understanding of annual giving strategy, fundraising processes, and donor engagement practices. This position provides the incumbent with opportunities for professional growth and exposure across the Annual Giving and Development functions.

NATURE AND SCOPE:

The Annual Giving Program & Operations Coordinator will collaborate closely with the Annual Giving team, Advancement Services, Alumni Relations, and other campus partners to support the planning and execution of fundraising initiatives.

This role will interact with internal stakeholders across Development and Alumni Relations, as well as external vendors and partners supporting campaign production, digital platforms, and donor engagement efforts. The Coordinator will play a key role in ensuring alignment across campaign timelines, data processes, and reporting.

PRINCIPAL ACCOUNTABILITIES:

Campaign & Project Coordination

  • Support the planning, coordination, and execution of multi-channel annual giving campaigns, including direct mail, email, digital, and crowdfunding initiatives
  • Maintain and manage the Annual Giving campaign calendar, ensuring alignment across projects, deadlines, and stakeholders
  • Coordinate campaign workflows, timelines, and deliverables across internal teams and external vendors
  • Assist in quality assurance processes, including reviewing campaign assets, links, and data outputs

Data & Reporting Support

  • Assist with data requests, list preparation, segmentation support, and quality control in partnership with Advancement Services
  • Support campaign tracking, reporting, and performance analysis across all Annual Giving initiatives
  • Prepare regular reports and dashboards to support decision-making and program evaluation
  • Maintain accurate records of campaign activity, results, and donor engagement

Program Support (Reunion & Affinity Giving)

  • Support reunion and affinity-based giving efforts through coordination of outreach, materials, and communications
  • Assist with donor and prospect research, briefing materials, and stewardship tracking
  • Coordinate logistics and communications related to volunteer engagement and special projects
  • Provide project support for targeted fundraising initiatives and special campaigns

Operations & Administrative Support

  • Support the Director of Annual Giving with campaign planning, meeting coordination, and operational follow-up
  • Assist with internal communications, ensuring alignment across the Annual Giving team and key stakeholders
  • Track project progress, action items, and deadlines to ensure timely execution of initiatives
  • Support vendor coordination, including timelines, deliverables, and documentation

Professional Development

  • Develop knowledge of annual giving strategies, fundraising technologies, and donor engagement practices
  • Stay informed on industry trends, tools, and best practices in annual giving and higher education fundraising
  • Perform other administrative, fundraising, and related duties as assigned and trained on

  • Proficiency in Microsoft Office Suite and the ability to learn and effectively utilize fundraising systems and technologies, including donor databases such as Raiser's Edge
  • Demonstrated ability to learn and apply the fundamentals of annual giving and fundraising practices
  • Ability to work both independently and collaboratively as part of a team
  • Flexibility and willingness to work evenings and weekends as required to support fundraising activities and campaign execution

MINIMUM REQUIREMENTS:

Bachelor's degree required, and one to three years of annual giving or administrative experience.1 - 3 years Annual giving/higher education experience highly desired
