JOB PURPOSE:
The Office of Undergraduate Studies (OUS), an established unit within the Office of the Provost, operates with goals to meet and exceed retention, persistence, graduation, career, and post-graduate outcomes noted in the strategic plan. OUS comprises three major units: The Academic Center for Excellence, Center for Career & Professional Success, and the Office of General Education. Collectively, OUS units provide transformative offerings through three major functions: academic excellence support, academic and career exploration, and career development.

The Administrative Coordinator supports the Associate Provost for Undergraduate Studies and serves as the lead administrative assistant in the Office of Undergraduate Studies. Key responsibilities include event planning, coordinating events with campus partners and vendors, monitoring budgets, business affairs, personnel matters, and interpreting policy and procedures. The Administrative Coordinator works with a high degree of independence with general direction and supervision received from the Associate Provost.

SUPERVISORY AUTHORITY:

Responsible for orienting and training other administrative assistants and student employees within the Office of Undergraduate Studies, as well as keeping staff informed of administrative policies and procedures. Acts in lead capacity on major projects, collaborating with other administrative assistants performing the same work or related tasks in the Office of Undergraduate Studies.

NATURE AND SCOPE:

This is a front-facing, in-person position that is essential to the operations of a student success center. Internal contacts include administrators, faculty, staff, students, and alumni. External contacts include vendors, visitors, general public, and officials.

PRINCIPAL ACCOUNTABILITIES:

  • Manages front desk and intake to facilitate a pleasant and positive experience for students, visitors, and staff in a manner that is consistent with a student success center
  • Manages student workers to assist with front desk intake and basic office duties
  • Performs light physical activity from time to time (e.g. signage setup and materials movement for tabling and events)
  • Supports the OUS leadership team, staff, and direct reports with day-to-day operations and activities (e.g., submitting requisitions, reporting maintenance issues, etc.)
  • Manages calendar for the Associate Provost
  • Provides operational leadership for signature events such as New Student Orientation for undergraduate students
  • Works with OUS staff and campus partners to plan, implement, and provide oversight of orientation programs and activities such as new and transfer student orientation, virtual orientation, Bison Week, and extended orientation programs
  • Co-develop orientation related program materials (electronic and print)
  • Co-manage the orientation budget, contracts, and requisitions related to orientation programming
  • Co-develop a communication strategy for generating awareness of and participation in orientation programs and events
  • Provides leadership and oversight over other events, such as Career Fairs, which are primarily led by other administrative assistants in the Office of Undergraduate Studies
  • Engage faculty, students, and stakeholders to deliver effective student success programming
  • Work closely with OUS staff to onboard and manage orientation leaders and other student workers in OUS
  • Monitors inventory, manage requisitions, coordinate deliveries, and attend to ad-hoc office matters and tasks
  • Record minutes for meetings and generate reports
  • Perform other duties as assigned

MINIMUM REQUIREMENTS:

Exceptional event planning skills. Five or more years of experience in a similar role; Bachelor's degree or equivalent combination of education and experience sufficient to perform the principal accountabilities of the job.
