POSITION SUMMARY:

Responsible for advanced administrative and technical support for the Office on Aging and Independence. Provides general administrative support to Administrator of the office, the Division Managers and other offices within the department as needed.


STARTING SALARY HIRING RANGE:

$24.59 - $26.89
$51,139 - $55,938

CLASS DESCRIPTION:

Performs advanced technical level administrative support work, which may include supervisory responsibility, under general supervision from an administrative or technical superior. Work typically involves administrative support technical tasks and secretarial work assisting legal staff or an executive level government official. Applies bookkeeping, accounting and data processing principles to accounting and financial record keeping and reporting systems at the advanced technical level. Work at this level may also include independent responsibility for a significant administrative or clerical process.

Include the following.  Other duties may be assigned.  


  • Work and collaborate with coworkers and supervisors at all levels. Provides administrative support to the administrator, Division Managers, program managers and staff.
  • Provides administrative technical support to include the e-civis reporting system, electronic filing of state reports and grant applications, and data entry into the office’s database systems.
  • Provides administrative support to the Commission on Aging to include but not limited to attending meetings, taking meeting minutes, record retention, updating the website, and scheduling meetings.
  • Provides back up support to the front desk DCRS/OAI reception duties corresponding to incoming communications including phone calls, incoming and outgoing daily mail, greeting customers, making appropriate referrals, and assisting staff and visitors as needed.
  • Serves as a team lead for OAI’s administrative support team. Serves as a back-up reconciler for the administrative support team. Maintains office equipment such as copier, printers, including ordering and tracking inventory of specialized and general office supplies.
  • Supports administrative team with duties such as mail distribution, supply orders, photocopying, faxing and filing, keeping calendars and scheduling appointments.
  • Work as a team member on the administrative support team and on selected projects. 
  • Provide support for programs, office publications, boards and commissions, including updating and maintaining databases and other systems.
  • Acts as backup to program staff to register training participants. Utilize Activenet for registrations, notifications, point of sale, reports, rosters, managing activities and other Activenet functions. 
  • Completes a monthly review of all OAI webpages to ensure they are up-to-date, accurate and comply with ADA requirements. Updates webpages as needed as requested by teams. 
  • Performs high level clerical and administrative functions, including word-processing, preparation of a variety of correspondence, reports, tables, databases and other documents.
  • Provides support to administrative support team with fiscal tasks such as receiving and processing invoices for payment. This includes and is not limited to direct payments, invoices, employee’s mileage claims, and PDQ reconciliation. Enter information into internal fiscal database. Addresses staff and vendor inquiries regarding payments.
  • Attend meetings and trainings as directed by supervisor. Record meeting minutes. 
  • Serves as the OAI timekeeper to perform time and leave functions for the Office on Aging and Independence in coordination with the DCRS timekeeper.
  • Assist with interview process for open positions within OAI. Call applicants, schedule interviews, create calendar invites or virtual meetings, and keep hiring manager informed of the process. 
  • Participate in activities related to Emergency Management as requested, including work outside normal business hours.

 

SUPERVISORY RESPONSIBILITIES:

This job has no supervisory responsibilities.


Associate's Degree and two (2) years related experience or equivalent combination of education and experience. 


PREFERRED EDUCATION, KNOWLEDGE, SKILLS AND ABILITIES:
  • Knowledge of office procedures and experience in setting up and maintaining electronic filing systems.
  • Ability to work independently to organize, carry out and maintain control over day to day office operations.
  • Strong telephone skills essential. General bookkeeping or accounting and fiscal skills preferred.
  • Knowledge of computer hardware and capable of explaining software applications and hardware operations to others.
  • Strong interpersonal skills, excellent oral and written communication skills and the ability to work well with an ethnically diverse population.
  • Strong computer proficiency especially with Microsoft Office (Word, Excel, PowerPoint), database management and spreadsheet applications necessary.
  • Proficiency in virtual platforms and use of technology for human services delivery.

LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.  

MATHEMATICAL SKILLS:
Ability to add, subtract, multiply or divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and draw and interpret bar graphs.   

REASONING ABILITY:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
