I. REQUIREMENTS
A. Education:
Bachelor degree required or previous or current business owner in good standing. Preference given to those with a degree in business, retail management, marketing or related field. Additional education will be recognized.
B. Experience:
Four years of retail management experience preferred, including supervising staff and managing inventory, online sales, sales events, and merchandise.
C. Knowledge / Skills / Abilities:
Ability to operate a personal computer and other common office equipment. Knowledge of word processing, spreadsheet software, and point-of-sale systems. Knowledge of retail sales, merchandising, inventory management, and budgeting. Must be able to work well with the public and faculty/staff. Must have strong time management and organizational skills. Must be detail-oriented and able to multi-task. Must possess strong communication skills (verbal and written). Will be subject to a criminal background check.
D. PHYSICAL REQUIREMENTS/WORKING CONDITIONS
Must be able to stand, walk, and move about the store for extended periods. Must be able to lift, carry, push, and pull up to 50 pounds (occasionally heavier with assistance) when handling boxes of textbooks, merchandise, and supplies. Pre-employment physical examination will be required with periodic assessments.
II. LINE OF ORGANIZATION
The District Bookstore Operations Manager receives direction from and reports to the Chief Business Officer in consultation with the Director of Marketing/Big Spring area, the District Dean of Instructional Design, the Dean of Libraries, and the campus student services leaders.
III. WORK TO BE PERFORMED
A. Summary Statement:
Serve as the main point of contact with the contracted bookstore for student textbook provision and coordinate with the campuses and respective libraries on deliveries. Manage the onsite operations of the Big Spring campus bookstore which will serve as the district hub for branded retail and supply items with responsibility for outreach and coordination with the other campuses. Ensure students and staff have access to required and needed resources and excellent customer service both onsite and online.
B. Major Duties and Responsibilities:
1. Maintain knowledge of current bookstore procedures, policies, and Howard College guidelines. Contact Human Resources if assistance is needed.
2. Maintain satisfactory attendance.
3. Manages the college district bookstore enterprise.
4. Take a lead in the negotiation of contracts with vendors.
5. Manage orders and inventory of textbooks and course materials with the online provider.
6. Coordinate with the District Dean of Instructional Design and designated faculty leaders for book adoptions related to the contracted bookstore.
7. Create districtwide pricing models.
8. Make purchasing decisions that materially affect budgets.
9. Work closely with other departments to ensure smooth bookstore operations across campuses, specifically in consultation with the Dean of Libraries concerning book deliveries.
10. Advise with faculty and departments to order and assemble program-specific kits upon request.
11. Coordinate with merchandising planning and promotional campaigns in consultation with the marketing departments of each campus.
12. Organize and manage pop-up stores for athletic events and campus activities for each campus in consultation with the respective campus student service leader.
13. Supervise bookstore personnel, including clerks, student workers and part-time staff.
14. Provide in-person customer service support at the Big Spring campus bookstore during limited hours on scheduled days of the week.
15. Provide customer service support online as needed and ensure online customer service support through the contracted bookstore is meeting the needs of students, being a resource for faculty, staff and students with questions.
16. Schedule one-day shopping events at each campus on a determined and timely basis in coordination with each site.
17. Support special events involving the bookstore.
18. Coordinate the ordering, pricing, and merchandising of branded and non-branded merchandise such as course materials with each campus.
19. Oversee the online merchandise store, including product listings, fulfillment, and shipping plus the point-of-sale system.
20. Maintain accurate records for inventory, sales, and financial reporting.
21. Coordinate and conduct bookstore inventory processes.
22. Process customer payments in compliance with college policies and payment card standards.
23. Coordinate with the Student Accounting office concerning any matters related to third-party vendors.
24. Administer budgeted funds and monitor financial performance.
25. Responsible for handling cash and balancing cash register at end of business day.
26. Work beyond posted hours as needed.
27. Adjustment of work schedule may be necessary dependent on the week.
28. Perform other duties as assigned.
