What are the responsibilities and job description for the Accounts Payable Coordinator -Hybrid *MUST BE HOUSTON BASED position at Houston Eye Associates?
LOCATION: 2855 Gramercy St. Houston, TX 77025 Hybrid schedule after 90 days. *MUST BE HOUSTON BASED*
POSITION SUMMARYContributes to the organization by being responsible for accounts payable and ensuring compliance with the organization’s policies and procedures. Good organization skills and adaptability to change are essential. Sage Intacct / BILL ERP systems experience is strongly preferred. Familiarity with Intercompany/ multi-entity account structure. Heavy volume.
ESSENTIAL DUTIES & RESPONSIBILITIES
Date stamps all incoming invoices via mail or AP email inbox
Enters invoice data for multiple entities/ locations/ departments into the accounts payable system (BILL)
Verify invoices are matched with appropriate purchase orders and received documentation.
Obtain appropriate department approvals for non-PO invoices. (Via automated workflows in BILL)
Use the accounts payable aging report to determine weekly payment processing
Ensure checks are printed, signed, and sealed in window envelopes for mailing/distribution.
Reconcile vendor statements for unpaid and aged invoices
Handles vendor calls and inquiries in a professional and efficient manner
Maintains W9 database for all vendors
Coordinate year-end processing of IRS 1099s for all companies
Maintains accurate records for new vendor set-ups.
Provide support to the accounting department with projects and assignments.
All other duties as assigned.
PHYSICAL DEMANDS/WORK ENVIRONMENT
Work is performed in an office environment. Requires prolonged sitting, some bending, stooping, and stretching. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment. Requires normal range of hearing and eyesight to record, prepare and communicate. Ability to periodically lift up to 25 lbs.
Work may be stressful at times. May require some overtime during month-end close or special projects.
Staff must remain flexible and available to provide staffing assistance for any/all disaster or emergency situations.

EDUCATION Associate degree preferred.
CERTIFICATIONS & LICENSES No certifications or licenses required.
EXPERIENCE At least two (2) years of work experience in accounts payable required. Experience with Sage Intacct or other ERP System required. Experience with BILL is preferred
