Position Overview
The Clinic Coordinator is responsible for managing patient scheduling, follow-ups, and front desk operations. This role is critical to maintaining organization and ensuring a smooth patient experience. The ideal candidate is proactive, highly organized, and able to manage multiple responsibilities without losing track of details.
Key Responsibilities
- Schedule, reschedule, and confirm patient appointments
- Track all patient requests in a centralized system (no paper-based tracking)
- Follow up with pending patients consistently until scheduled or closed
- Answer phones, respond to messages, and communicate professionally with patients
- Maintain accurate and up-to-date patient records
- Coordinate with providers to ensure efficient daily operations
- Ensure all administrative processes are completed on time
- Adhere strictly to HIPAA and clinic policies and procedures
Non-Negotiable Expectations
- All patient requests must be documented and tracked the same day
- No patient follow-up is missed or delayed
- Ability to manage multiple tasks while maintaining organization
- Strong sense of accountability and ownership of responsibilities
- Consistent adherence to clinic policies and procedures
Qualifications
- Experience in a medical, therapy, or healthcare office strongly preferred
- Strong organizational and time management skills
- Excellent communication skills (English required; Spanish preferred)
- Comfortable using scheduling systems, spreadsheets, or EHR platforms
- High attention to detail and reliability
