POSITION: FISCAL ASSISTANT I

JOB RESPONSIBILITIES:
- Performs clerical and accounting functions in various departments of Public Housing Agency involving the application of bookkeeping principals and practices, including recording, reviewing, and processing routine financial records and documents.
- Assists in the daily routine accounting functions such as: receiving packing lists/purchase orders for payment; entering and maintaining accounting records for accounts payable; posting accounting data to ledgers, books, registers and journals; making routine adjustments to accounts; preparing financial reports for review; maintaining expenditure and budgetary control accounts; check processing.
- Prepares deposit tickets and takes deposits to the bank as necessary; calculates and maintains utility consumption registers; performs physical inventory count of office equipment, maintenance equipment and tools; and other fixed assets.
- Prepares vendor packets (tax exempt forms, 1099 status forms); completes credit applications for new accounts; responds to account payable inquiries; generates purchase orders and work orders.
- Performs various accounting and clerical duties to process requisition request from the maintenance department; utilizes a materials management software program to track inventory items; orders and receives maintenance supplies.
- Maintains maintenance equipment, contract, and vendor files and registers; prepares and reviews materials management reports for accuracy and posting to ledgers; prepares and reviews physical inventory sheets; performs annual physical inventory fixed assets.
- Receive all property insurance claims, general liability claims and workers' compensation claims. Complete appropriate documentation and forward to HARIE as required. Follow-up status and needed.
-Assist with healthcare, new and renewal process yearly and as needed.
- Provide all claim information to Executive Director regarding possible legal issues when needed.
- Assist as back up for payroll responsibilities as needed.
- Performs other related work as required, including reception fill in.
- Previous experience performing these duties for assisted housing programs, utilizing Horizon Information Systems (HIS) software, especially the Financial, Materials Management, and Work Order modules is preferred.
-Complete the update of the annual inventory.
-Experience using Word, Excel, and Microsoft Outlook
- Performs any and all other job-related duties as required.
-Travel as needed.
REQUIRED WORK EXPERIENCE:
Meet the minimum experience and training required for the job : two (2) years of experience in performing tasks associated with the financial management of assisting housing communities, or properties owned or administered by a public housing agency; or, two (2) years of comparable business, industrial, or professional employment; or, any equivalent combination of experience and training; or one (1) year performing tasks associated with the management of assisted housing programs.
