Purpose of Job
This position provides administrative support to the full-time office administrator, sales agents, and branch manager. The part time office administrator is responsible for performing office operation duties at the direction of the full-time office administrator and branch manager. The part time office administrator is expected to interpret and enforce company policy and provide customer service. Duties may vary depending on the needs and requests of the full-time office administrator, sales agents, and branch manager.
Job Duties and Responsibilities (Essential Job Functions)

- Providing direct support to full-time office administrator in coordination with activities in the real estate office.
- Oversee and maintain day-to-day sales office operations including: answering phones, record keeping, invoicing, marketing, posting office social media content, filing, assisting sales/branch manager, assisting sales agents, greeting clients.
- Oversee the processing and verifying of new listings and sales, which may include entering the listings and sales into the system. Assist full-time office administrator in ensuring the accuracy and timely preparation of purchase agreements, and record and maintain all sold records. May handle correspondence, mail and support appointment setting.
- Provide support to the sales associates which may include ensuring all paperwork is completed and processed in a timely manner, along with assisting sales associates with advertising, paperwork, and social media. Remain available and act as the first point of contact to support full-time office administrator, backing up full-time office administrator with assisting sales agents' needs.
- Assist full-time office administrator and branch manager with coordination of special events, collateral material, flyers, handouts and brochures.
- May monitor upcoming sales transactions for completeness and compliance and ensure necessary information has been ordered and is accurate.
- Perform any additional responsibilities as requested or assigned by full-time office administrator and/or branch manager.

Qualifications
Education:
- High School diploma or equivalent
Experience:
- Three to five plus years of related experience and demonstrated supervisory skills.
Knowledge and Skills:
- Knowledge of real estate, title and /or mortgage business desired.
- Strong computer skills; proficient in Microsoft Office products, including Word, Excel, Publisher and Access.
- Proficiency in social media
- Excellent oral and written communication skills.
- Effective interpersonal skills and leadership abilities. A strong customer-service focus.
- Effective analytical, problem-solving and decision-making skills; initiative, attention to detail, and a team player.
- Project management skills; ability to prioritize and handle multiple tasks and projects concurrently.
- Ability to handle stress and work under pressure.
Other (licenses, certifications, schedule flexibility/OT, travel, etc.):
- Real estate license preferred.
Wage: $21.50 - $22.00 hourly; actual wage is based upon education and experience.
