POSITION SUMMARY
The Accounting Assistant plays a vital role in supporting the financial operations of The Sorrento Hotel. Reporting directly to the Controller, this position is responsible for a broad range of accounting and administrative functions, including payroll processing, new hire onboarding, petty cash management, and financial reporting. The ideal candidate is detail-oriented, discreet, and possesses strong organizational skills with a commitment to accuracy. This individual also will be responsible for the maintenance of employee files.
KEY RESPONSIBILITIES
Payroll Processing
- Prepare and process semi-monthly payroll using ADP WorkforceNow, ensuring accuracy and timeliness.
- Verify timekeeping records, resolve discrepancies, and communicate with department managers regarding payroll-related issues.
- Maintain confidential employee payroll records in compliance with applicable laws and company policy.
- Prepare and distribute the daily payroll flash report to department heads.
Human Resources & Onboarding
- Complete all new employee onboarding paperwork, including federal and state tax forms, direct deposit enrollment, and benefits enrollment documentation.
- Maintain accurate and up-to-date employee files in coordination with the Controller, GM and department heads.
- Serve as a point of contact for new hires during the onboarding process, ensuring a smooth and welcoming experience and point of contact/direction regarding questions pertaining for employee benefits.
Accounting & Financial Reporting
- Assist the Controller with monthly account reconciliations, ensuring all accounts are balanced and discrepancies are identified and resolved promptly.
- Support the preparation of monthly financial statements, including compiling supporting schedules and documentation.
- Reconcile petty cash funds on a regular basis, ensuring proper documentation and adherence to internal controls.
- Input of invoices/expenses to Accounts Payable system.
- Assist the sales team with invoicing, collecting, recording and securing deposits for special events. Work with sales team to prepare final invoicing for special events and timely collection of balances owed.
- Assist with timely invoicing for one-off/owner events.
- Maintain organized and accurate accounting records and files.
General & Administrative
- Respond to internal inquiries from department heads regarding payroll and financial matters in a professional and timely manner.
- Support the Controller with special projects, audits, and other tasks as assigned.
- Maintain confidentiality of all sensitive financial and employee information.

QUALIFICATIONS
Required
- Associate's degree or higher in Accounting, Business Administration, or a related field; or equivalent combination of education and experience.
- Minimum of 2 years of accounting or bookkeeping experience, preferably in a hospitality or service industry environment.
- Hands-on experience with ADP WorkforceNow or a comparable payroll processing platform.
- Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
- Strong attention to detail and a high degree of accuracy in data entry and financial recordkeeping.
- Demonstrated ability to handle confidential information with discretion and professionalism.
- Excellent organizational and time-management skills with the ability to meet deadlines.
- Strong interpersonal and written communication skills.
Preferred
- Bachelor's degree in Accounting or Finance.
- Experience in hotel or hospitality accounting.
- Familiarity with hotel property management systems (PMS) and point-of-sale (POS) platforms.
- Experience assisting with month-end close processes.
WORK ENVIRONMENT & PHYSICAL REQUIREMENTS
This position is performed primarily in an office environment within the hotel. The Accounting Assistant will work standard business hours, Monday through Friday, with occasional flexibility required during month-end close or during peak hotel periods. The role requires the ability to sit for extended periods, use a computer and standard office equipment, and occasionally lift or carry items up to 15 pounds.
